Your role as a Scheduling Specialist

As a Scheduling Specialist, your mission is to make sure the right people are in the right place at the right time—helping our virtual clinic teams run smoothly and efficiently. Reporting to the Workforce Management Team Lead, you’ll play a key role in turning workforce plans into reality. You’ll work closely with team leaders and cross-functional partners to ensure our operations run smoothly.

In this role, you’ll use tools like Kortex and Untether to plan and manage schedules, balance team capacity, and support vacation and statutory holiday processes. You’ll also help build skill-based schedules that align with business needs, budgets, and labour laws. This is a 1-year contract position.

What you'll be doing

  • Build and publish skill-based schedules aligned with demand forecasts, budget targets, and labour law requirements
  • Manage monthly schedules, including shift assignments, availability, and proactive identification of coverage risks
  • Coordinate time-off and leave requests, ensuring accurate tracking, balances, and timely payroll processing
  • Maintain and update workforce data, using tools like Kortex and Untether to optimize scheduling and team coverage
  • Provide clear visibility into scheduling gaps and operational risks, while applying collective agreement guidelines to all decisions

We'd love to hear from you if you have

  • Experience in workforce scheduling, ideally in healthcare, contact centres, or virtual care
  • Solid knowledge of collective agreement language and the ability to apply scheduling provisions effectively
  • Strong Excel skills and experience with data-driven tools; familiarity with scheduling software is a must
  • Experience with Kronos or similar Time and Attendance systems is a strong plus
  • Excellent verbal and written communication skills, with the ability to present scheduling data clearly to stakeholders
  • A proven track record of delivering accurate, on-time work under pressure, with strong organizational skills

Please note that as we serve customers across Canada, bilingualism is essential for this position. You will be required to communicate in French and English.
