Disability Rights Wisconsin is the state’s Protection and Advocacy system, charged with protecting the rights of individuals with disabilities and keeping them free from abuse and neglect. Rate: $55,500-$69,163 Single Incumbent Wage Scale
*Compensation at DRW is based on a tiered calculation scale that incorporates prior relevant employment experience; candidate attributes applicable to social justice/disability advocacy work; grant coordination experience and/or supervision experience if applicable.
Location: Madison office. Hybrid option available. Must be a resident of Wisconsin.

The Administrative Coordinator is responsible for providing administrative and organizational support for DRW in coordination with other administrative staff across multiple offices. This role will perform a variety of administrative support activities for the organization including administrative coordination, fundraising support and database management, publications and outreach, and overall administrative support to leadership. This position will be included in process management and improvement and provide support to a variety of projects as needed across the organization.
· Coordinate acquisition of office equipment and furnishings for all offices.
· Coordinate with Milwaukee and Madison Administrative staff to maintain and improve office procedures and requests for clerical support such as incoming/outgoing mail and faxes, large copying requests, etc.
· Resolve agency-wide operations problems and/or escalate issues to the Associate and Executive Director, as appropriate.
· Take the lead role in working with business contacts regarding:
o Building Maintenance
o Rental cars
o Office Equipment
o Lead contact for DRW phone/VOIP system.
· Maintain centralized DRW Office Calendars (Time-off and Events calendars)
· Maintain and improve systems for filing important documents such as DRW contracts.
· Assist as needed to ensure adequate phone coverage across offices when regular administrative staff are unavailable (e.g., sick or vacation).
· Work with other Office Coordinators to ensure efficiencies and consistency with office protocols and processes. Make improvements when necessary.
· Provide administrative support for quality improvement projects or ad-hoc projects as needed, such as all-staff meetings, trainings, partner meetings, and events.
· Provide administrative support for the Board of Directors:
o Prepare and organize meeting materials including agendas, handouts, etc.
o Work with the board chair executive director and Committee chairs to schedule the board meetings and committee meetings.
o Staff board committees with volunteers.
· Provide administrative support to the Executive Director, Director of Finance, and Legal Director.
· Assist the HR Manager with hiring, onboarding, and offboarding.
· Assist HR with office assignments and parking spot assignments.
· Welcome and attend to guests; greet and direct incoming appointments to appropriate locations.
· Work with the Executive Director and other staff on annual appeals, Big Share, and other fundraising events, including drafting communications, coordinating mailings, and managing logistics.
· Assist with grant submissions, including proofreading, managing workflows and submission logistics, and tracking submissions.
· Assist with the development and maintenance of a grant tracking system to ensure the completion of timely reporting and other grant deliverables.
· Coordinate the Annual Reporting process.
· Oversee and coordinate bulk and other mass mailings, e.g., annual reports, training brochures, and large print jobs with external vendors.
· Proofread a variety of DRW-produced materials.
· Create flyers and other announcements for DRW-related events.
· Ensure brochures are updated and DRW offices are supplied
· Assist in scheduling, registering, and preparing for outreach events.
· Familiarity with Wisconsin’s disability-related services/legal rights, residential, prevention of abuse/neglect systems including Family Care, IRIS, community-based mental health programs, and adult/child protective services.
· Demonstrated experience using computerized databases.
