Position Title: Executive Operations Partner (Executive Command Center Lead / Co-Pilot)

JOB SUMMARY
The Executive Operations Partner – Level VI serves as the Executive Command Center and embedded operational co-pilot to the C-Suite within a multi-company ecosystem operating at enterprise-level velocity.
This is not a traditional executive administrative support role. Instead, this position functions as an extension of the C-Suite’s authority - engineering time, attention, communications, travel, follow-through and executive readiness across eight operating companies and strategic external stakeholders.
This role operates in a high-frequency executive partnership model requiring continuous synchronization throughout the business day. It is designed for an individual who thrives in intensity, consistently stays several steps ahead, and eliminates operational friction before it reaches the C-SUITE.
The Executive Operations Partner will be self-directed on day-to-day work and independently performs most responsibilities. Will lead teams and projects or tasks of complex scope and broader programs. Will coordinate activities of other personnel. Assists in the development of policies and procedures.
The Executive Operations Partner will communicate and operate in line with organizational goals and values, as well as departmental objectives.
ESSENTIAL FUNCTIONS
Executive Command Center Ownership (20%)
- Own and operate a unified executive system across inboxes, Teams, calendar, commitments, and cross-company workflows.
- Maintain C-Suite Decision Queue and Delegated Operating Queue
- Set escalation and routing standards
- Independently delegate communications, draft in C-Suite voice, close loops, and enforce meeting readiness
High-Intensity Executive Synchronization (15%)
- Serve as an embedded, real-time partner to the C-Suite.
- Continuous micro-iterations and dynamic calendar adjustments
- Proactive follow-up and decision packaging
- Identify and fill schedule gaps with high-value engagements
Strategic Calendar Engineering & Time Optimization (20%)
- Design the C-Suite’s calendar as a production schedule.
- Deep-work blocks, follow-up windows, relationship cadence
- Context buffers and meeting compression logic
- Enforce agenda-required standard
- Fully populate conference calendars (logistics, QR codes, prep blocks, recovery time)
Communications Operations & Inbox Compression (15%)
- Own full communication lifecycle from intake to closure.
- Eliminate scheduling churn and suppress noise
- Convert threads into outcomes
- Build automation workflows and AI-assisted summaries
- Ensure C-SUITE never searches for logistics or credentials
Follow-Through Engine & Commitment Discipline (10%)
- Maintain structured tracking of commitments, deliverables, dependencies, and integrations.
- Decision logs, stakeholder maps, briefing artifacts
- CRM-level rigor (owner, next step, due date, escalation)
- KPI: Near-zero stale items
Strategic Partner Interface (10%)
- Coordinate executive-facing interactions across internal and external partners.
- Pre-wires, meeting choreography, artifact readiness
- Decision capture and action tracking
- Maintain narrative alignment and confidentiality
Travel, Conference & Executive Experience Optimization (10%)
- Engineer travel and events for productivity and efficiency.
- Smart lodging and flight selection
- Realistic transit planning and early booking discipline
- Curate conference sessions, plan introductions, and convert follow-ups into outcomes
Completion of Assigned Tasks and Deliverables on Time and on Budget
- Performs Other Related Duties as Assigned
POSITION REQUIREMENTS (ADVANCED LEVEL FOR ALL)
Executive Operations & Judgment
- Knowledge of executive operations and strategic time optimization within a high-velocity, multi-company professional services environment.
- Ability to operate independently as the owner of the C-Suite operating system, exercising sound judgment with minimal oversight.
- Ability to anticipate needs, eliminate operational friction, and enforce executive standards—including agenda discipline and time protection—with senior stakeholders.
- Ability to maintain strict confidentiality across executive, HR, legal, and strategic partner matters.
Strategic Time & Calendar Architecture
- Skill in engineering complex, multi-time zone executive calendars aligned to strategic priorities and proactively filling capacity with high-value engagements.
- Knowledge of conference and travel logistics planning with a productivity-first and convenience-first approach.
Communications & Decision Support
- Skill in converting high-volume inbound communications into concise, decision-grade executive inputs.
- Skill in drafting executive correspondence and briefing materials in the C-Suite’s voice.
- Skill in tracking commitments and cross-functional dependencies to disciplined closure.
- Ability to synthesize large volumes of information into clear, actionable executive summaries.
Technical & AI Systems
- Skill in advanced Microsoft 365 tools including Outlook, Teams (multi-tenant), SharePoint, Excel, Word, and PowerPoint.
- Skill in leveraging AI and generative AI tools for summarization, drafting, routing, research, and operational compression.
- Ability to implement lightweight operational systems rapidly to improve executive efficiency.
Operating Cadence & Professional Discipline
- Ability to function effectively in a continuous, real-time executive synchronization model (“10-cadence”).
- Ability to manage ambiguity, reprioritize rapidly, and perform effectively under pressure while sustaining a long-term executive partnership aligned with organizational growth.

TRAVEL REQUIREMENTS
- Up to 10%, this may include travel to any or all 50 US states
- Travel is defined as physically leaving home on behalf of business activities including but not limited to client sites, meetings with other employees, meeting for business development purposes, running errands on behalf of the business, attending industry conferences, etc.
EDUCATION / EXPERIENCE
- Bachelor’s degree in Business Administration, Communications, Operations, or related field preferred. Equivalent progressive professional experience will be considered.
- 13–18 years of progressive experience in executive operations, senior-level administrative leadership, or executive support within consulting, engineering, or similarly high-velocity professional services environments
- 7–10 years directly supporting C-Suite or enterprise-level executives in complex, multi-stakeholder or multi-entity settings.
- Professional services experience is required; experience supporting executives within engineering or technical consulting environments is strongly preferred.
- Demonstrated experience operating beyond task execution, including executive time architecture, cross-functional coordination, workflow automation, and preparation of decision-grade executive materials.
