Job Overview:
We are seeking a Front Desk Receptionist to serve as the first point of contact for our clients and visitors, delivering a warm, professional, concierge-level experience from the moment they arrive.

This role goes beyond traditional reception duties. You'll be responsible for maintaining a welcoming, well-organized environment across the reception area, conference rooms, and other client-facing spaces — anticipating needs, coordinating with attorneys and staff, and ensuring every visit runs smoothly from arrival to departure.

The ideal candidate is proactive, detail-oriented, and service-minded, with a genuine sense of ownership over both the client experience and the appearance of the office's front-facing areas.

This is a fully on-site position, five days per week. Because the role is client-facing and requires daily front desk coverage, consistent and reliable attendance is essential.

Key Responsibilities:

  • Greet visitors promptly and professionally, notify the appropriate team members of arrivals, and ensure guests are comfortable while they wait
  • Coordinate arrivals with attorneys and staff to ensure a seamless handoff from reception to meetings
  • Communicate proactively with internal teams about meeting logistics, delays, or other details needed for a smooth visit
  • Anticipate visitor needs, including offering beverages and providing information or assistance as appropriate
  • Maintain the appearance and organization of reception, conference rooms, and other client-facing spaces throughout the day — tidying furniture, wiping surfaces, clearing hospitality items, and disposing of minor trash
  • Monitor and restock beverages, supplies, and other hospitality items
  • Conduct routine walkthroughs to catch and address (or report) cleanliness, maintenance, or supply issues
  • Prepare and reset conference rooms before and after meetings
  • Receive and manage incoming mail, packages, and deliveries
  • Manage conference room bookings, avoiding scheduling conflicts
  • Coordinate with facilities, janitorial, security, and IT teams when additional support is needed
  • Exercise professionalism, discretion, and sound judgment with clients, attorneys, staff, and confidential information
  • Assist with other front desk, hospitality, and administrative tasks as needed

Experience & Qualifications:

  • Front desk, concierge, hospitality, or other customer-facing experience
  • Strong hospitality mindset, with the ability to interact professionally and compassionately with people in difficult or sensitive situations
  • Strong interpersonal skills and the ability to work effectively with attorneys, leadership, and staff across the firm
  • Sharp attention to detail, particularly around the condition and presentation of client-facing spaces
  • Sound judgment, initiative, and follow-through
  • Familiarity with scheduling and calendar tools, including Outlook
  • Clear, polished verbal and written communication
  • Ability to stay calm and welcoming while managing multiple priorities
