The Sales Administrative Assistant Supervisor oversees the administrative support team within the sales department to ensure accurate reporting, timely follow-up and current/accurate customer records. This role involves supervising staff, optimizing processes, and providing high-level support to the sales team to achieve organizational goals.


Key Responsibilities

Supervisory Duties

  • Lead, train, and mentor a team of administrative assistants to deliver exceptional support to the sales team.
  • Assign tasks, set performance goals, and conduct regular performance evaluations.
  • Identify, Develop and implement standardized procedures and processes to improve efficiency and accuracy.
  • Provide guidance to resolve challenges and ensure compliance with company policies.
  • Oversee data entry in Business Central and D365, to ensure accuracy and completeness.

Administrative Support

  • Assist in follow up coordination using CRM (D365) and Outlook for sales team.
  • Oversee and assist in the entering, updating and correcting of customer information in Business Central.
  • Ensure accurate and timely entry and maintenance of sales data in D365.
  • Setup new customer accounts.
  • Perform detailed research on customer accounts as needed.
  • Assist Sales Team with customer issues and support.
  • Manage consignment account inventory and replenishment orders and billing.
  • Manage Customer Satisfaction Log.
  • Send out monthly customer reports.
  • Weekly status updates to VP of Sales and Marketing.

Coordination and Communication

  • At times, serve as the liaison between sales and other internal departments to help provided requested information by either the sales representative and/or the customer.
  • Monitor and manage administrative workflows to ensure deadlines are consistently met.
  • Respond to inquiries from clients and internal team members with professionalism and efficiency.


Qualifications

  • Required Experience: Minimum of 3 years in an administrative support and/or customer service role.
  • Preferred Experience: Supervisory experience.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Proficiency in CRM software (D365), Microsoft Dynamics, and data analysis tools.
    • Excellent written and verbal communication skills.
    • High level of attention to detail and problem-solving skills.
