We’re looking for a friendly, highly organized Office Experience Coordinator to keep our workplace running smoothly and create a welcoming experience for employees and visitors. You’ll manage daily office operations, support teams with administrative tasks, and provide light executive assistance to the CEO.
Key Responsibilities
Office Operations & Workplace Experience
- Follow office workflow procedures to ensure maximum efficiency.
- Monitor office expenditures and handle office contracts (rent, services, etc.).
- Maintain office supplies and food/drink inventory; place and track orders.
- Administer office management software (conference room booking, visitor management, facility requests).
- Oversee office upkeep and cleanliness; coordinate with vendors as needed.
Administrative & Team Support
- Redirect calls, disseminate correspondence and packages, and schedule meetings.
- Assist with company email communications and announcements.
- Support vendor relationship management and service coordination.
- Help coordinate internal meetings, trainings, and occasional events.
Front Desk & Visitor Relations
- Greet and assist visitors; maintain a professional, tidy reception area.
- Answer and route incoming calls and inquiries.
Executive Assistance
- Provide personal assistance to the CEO (calendar support, errands/special requests).
- Perform other duties as assigned.
