About the Role

We are seeking a highly organized and detail-oriented professional to provide comprehensive project coordination and administrative support across multiple initiatives. This role combines analytical review work with hands-on project management, requiring someone who can seamlessly manage documentation, coordinate between teams, and maintain project momentum.

The successful candidate will serve as a critical liaison between Carbon Team lead and teams across different geographic locations, ensuring smooth communication flow and project deliverable tracking. You will be responsible for maintaining high standards of documentation accuracy while supporting information flow from field operations through regular site visits and comprehensive compilation of reports.

 

Your Responsibilities

Work Review & Analysis

  • Review project documents for accuracy, completeness, and clarity
  • Summarize project reports, highlighting key points and flagging areas requiring action or clarification
  • Track project deliverables and timelines to ensure milestone completion

Time & Task Management Support

  • Develop and maintain structured daily, weekly, and monthly work plans
  • Prioritize tasks based on urgency and deadlines using priority management systems
  • Monitor and report on upcoming deadlines and timeline adherence to management

Team Coordination & Communication

  • Serve as primary communication liaison between internal teams across different geographic locations
  • Conduct regular follow-ups on assigned tasks and maintain project tracking systems
  • Collect, verify, and organize work outputs from team members
  • Draft professional correspondence, meeting notes, and action items following calls and meetings

Site Travel & Field Support

  • Conduct scheduled site visits to assist with data collection, coordination, and field documentation
  • Prepare comprehensive reports following field visits and site assessments

Organizational & Administrative Support

  • Maintain organized digital and physical filing systems for all projects (updated weekly on Mondays)
  • Create standardized templates, tracking tools, and documentation summaries across projects
  • Coordinate meeting schedules, travel arrangements, and logistics as required

About You 

Core Competencies

  • Attention to Detail: Ability to identify inconsistencies and missing information in complex project documents
  • Strong Organizational Skills: Proven ability to create and manage multiple task lists, timelines, and project tracking systems
  • Communication Skills: Clear and professional writing abilities for correspondence, reports, and follow-up communications
  • Time Management: Skilled at prioritizing and reorganizing workload based on urgency and changing priorities
  • Initiative: Capable of taking ownership of projects and tasks with minimal supervision
  • Adaptability: Flexibility to travel to work sites and adjust to varying project requirements

Technical Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Experience with project management tools (Monday.com, Zoom, Trello, Asana, or Excel-based tracking systems)
  • Comfort with digital communication and collaboration platforms

Interpersonal Skills

  • Strong team collaboration abilities across diverse cultures and time zones
  • Excellent cross-cultural communication and relationship-building skills

Requirements 

  • Bachelor's degree in Business Administration, Project Management, Communications, or related field
  • Fresh graduate or entry-level professional
  • Internship or project experience in administrative, coordination, or document review roles preferred but not required
  • Demonstrated willingness to learn new project-specific tools and workflows quickly
  • Eagerness to grow in a dynamic, multi-geographic work environment
