Roles and Responsibilities:

  • Provide high-level administrative support to the project management team.
  • Coordinate meetings, appointments, and travel arrangements proactively.
  • Prepare and maintain project documentation with meticulous attention to detail.
  • Using Procore Financial Management tools to manage project budgets, track cost activities, and support change event workflows in coordination with the accounting team.
  • Communicating with the accounting department to align on budget tracking, cost reporting, and invoice processing for ongoing projects.
  • Handling travel bookings for project teams, including coordinating flights, lodging, and schedules in line with company travel guidelines.
  • Managing rental equipment by coordinating vendor sourcing, tracking usage periods, and ensuring timely return to optimize project efficiency.
  • Prepare and distribute meeting minutes and follow-up actions.
  • Support the Project Manager in risk management and mitigation.
  • Assist in preparing and presenting project reports and updates.
  • Support the procurement process by coordinating with suppliers and subcontractors.
  • Facilitate communication and collaboration among project team members.


Skills:

  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficiency in MS Office Suite and project management software.
  • High school diploma or equivalent; additional qualifications is a plus.
  • Strong attention to detail and accuracy.
  • Ability to prioritize tasks and manage time effectively.
  • Good interpersonal skills and ability to work in a team.
  • Proactive approach to problem-solving and process improvement.
  • High level of integrity and commitment to excellence.


Experience:

  • Entry level role, but proven experience in administrative or coordination roles is a plus.
