We are seeking a strategic and detail-oriented Director of Fulfillment Operations to lead project management for all Digital Marketing Services (DMS) campaigns and deliverables. This leadership role requires an Asana power user who will orchestrate seamless coordination between onshore and offshore teams, ensuring flawless execution of client projects from order intake through delivery. The ideal candidate combines deep Asana expertise with proven leadership in managing distributed teams and complex, multi-stakeholder digital marketing operations.

Key Responsibilities

Strategic Operations Leadership

  • Oversee end-to-end fulfillment operations for all DMS projects, campaigns, and client orders
  • Design and optimize project management workflows, processes, and systems across the DMS team
  • Establish quality standards, delivery timelines, and operational KPIs
  • Identify operational inefficiencies and implement scalable solutions to improve team productivity and client satisfaction
  • Generate executive-level reporting on project status, team performance, and delivery metrics

Asana Platform Ownership

  • Serve as Asana subject matter expert and primary platform administrator
  • Deploy Asana AI Teammates and AI capabilities to streamline operations and automate repetitive workflows
  • Build and maintain Asana workspace structures, including projects, portfolios, templates, and dashboards
  • Create advanced automation, rules, integrations, and custom workflows
  • Conduct regular audits of Asana usage and implement enhancements to improve visibility, consistency, and reporting
  • Develop and enforce naming conventions, tagging standards, and workspace governance policies
  • Create and maintain Asana training materials, documentation, and best practices for team adoption

Cross-Functional Coordination

  • Act as central coordination point between DMS team members, sales teams, customer success, and clients
  • Facilitate proactive communication across stakeholders to ensure alignment
  • Lead status meetings, project reviews, and manage escalations
  • Drive seamless project handoffs and execution across internal teams

Team Leadership & Offshore Management

  • Manage and develop a team of offshore fulfillment specialists
  • Establish workflows for offshore-to-onshore coordination and communication protocols
  • Standardize all offshore processes
  • Monitor team performance and provide coaching to enhance productivity
  • Foster a culture of accountability and operational excellence

Project & Campaign Management

  • Oversee intake, tracking, and fulfillment of all incoming client orders
  • Monitor project progress through lifecycle, ensuring on-time, on-budget delivery
  • Own SLAs and capacity planning
  • Proactively identify delays or bottlenecks and implement mitigation strategies
  • Coordinate resource allocation and workload balancing across the team


Required Qualifications

Asana Expertise

  • 3+ years of intensive, hands-on Asana experience as primary daily tool
  • Proven expertise building automation, workflows, rules, forms, integrations, and custom fields
  • Advanced proficiency with Asana portfolios, dashboards, reporting, and templates
  • Experience training teams on Asana adoption and best practices

Project Management & Leadership

  • 5+ years managing complex, multi-stakeholder campaigns in fast-paced environments
  • Experience managing and developing remote/offshore teams across time zones
  • Exceptional organizational, prioritization, and time management skills

Preferred Qualifications

  • PMP, CAPM, Certified Scrum Master, or similar project management certification
  • Experience in agency, marketing operations, creative operations, or PMO environments
  • Track record of process improvement initiatives and operational transformation projects

COMPENSATION & BENEFITS

Target Compensation: $90,000-100,000 (bonus eligible)

Please note that this range reflects a reasonable estimate of the target compensation for this position. This range may ultimately vary based on a candidate’s qualifications and may be higher where required by applicable law.
