Facilities Manager
Overview
The Facilities Manager is responsible for overseeing the daily facilities operations for a local college campus, including custodial/janitorial services, maintenance support, event setup coordination, and overall campus functionality. This role leads a team of housekeepers and maintenance technicians while serving as a primary point of contact for the client regarding operational needs, service expectations, and campus priorities. The Facilities Manager plays a key role in maintaining a clean, safe, organized, and welcoming campus environment while ensuring operational needs are handled efficiently and professionally. This position also supports vendor coordination, project management, scheduling, and operational planning to help ensure facilities operations run smoothly and align with client expectations.
Location: This role will support a local university campus in South Bend, IN.
Key Responsibilities
Operational Leadership & Team Management
- Oversee daily campus facilities operations, including custodial services, maintenance support, and event setup coordination
- Lead, supervise, schedule, and develop facilities staff, including housekeepers/janitorial staff and maintenance technicians
- Establish daily operational priorities and allocate staffing resources based on campus needs, events, and operational demands
- Provide ongoing coaching, accountability, training, and performance feedback to team members
- Conduct routine inspections to ensure campus facilities consistently meet cleanliness, safety, maintenance, and operational standards
- Partner with leadership on staffing needs, employee development, performance management, and operational planning
- Foster a responsive, professional, and customer service-focused team culture
Facilities Operations & Service Delivery
- Oversee maintenance operations and coordinate preventative, corrective, and emergency maintenance needs
- Coordinate campus event logistics, including room setups, breakdowns, scheduling priorities, and operational readiness
- Ensure timely resolution of operational, maintenance, and custodial concerns across campus facilities
- Monitor inventory, equipment, and supply usage to support operational efficiency and budget awareness
- Help ensure compliance with operational procedures, safety standards, and campus expectations
- Respond to operational emergencies and after-hours issues as necessary
Client Relationship & Vendor Management
- Serve as the primary day-to-day contact for campus leadership and client representatives regarding facilities operations and service needs
- Build and maintain strong client relationships through professional communication, responsiveness, and operational follow-through
- Coordinate and oversee vendors, contractors, and third-party service providers supporting campus operations and projects
- Assist with vendor sourcing, scheduling, project coordination, and service oversight
- Communicate operational updates, project statuses, recommendations, and facility concerns to leadership and clients as appropriate
Project Coordination & Operational Planning
- Oversee projects related to campus improvements, repairs, operational initiatives, and facility enhancements
- Coordinate project timelines, vendors, operational logistics, and communication for assigned initiatives
- Identify opportunities to improve operational efficiency, service delivery, campus appearance, and overall facilities performance
- Assist with operational planning, resource coordination, and implementation of department initiatives
- Maintain accurate operational records, inspections, work orders, vendor communications, and project documentation
- Support continuous improvement efforts to ensure facilities operations remain organized, proactive, and aligned with client expectations
Performs other duties and responsibilities as assigned to support business needs and contribute to team success.
Qualifications
Education & Experience
- Associate’s degree in facilities management, business, operations, or a related field preferred; equivalent experience may be considered
- 5+ years of facilities, maintenance, or related experience required
- Previous leadership or supervisory experience required
- Experience coordinating vendors, projects, schedules, or facility operations preferred
- Experience supporting educational, commercial, hospitality, healthcare, or multi-building environments is a plus
- Valid driver’s license and reliable transportation is required
