Overall purpose of the position

The Proposal Coordinator supports ECO's marketing, operations, and business development efforts. The role involves creating, coordinating, and submitting responses to RFPs and RFQs, and ensuring the production of high-quality marketing materials that adhere to our style guide. The position works under the direct supervision of the Marketing Manager to contribute to ECO's strategic priorities.

Essential functions of the position

  • Analyze and interpret RFPs/RFQs and other solicitation documents to understand client needs and response requirements.
  • Assist in the coordination and preparation of responses, including, but not limited to
    • Develop proposal schedules and compliance matrices.
    • Coordinate kickoff meetings and communications among proposal team members to discuss strategy, progress, and assignments.
    • Collaborate with teaming partners and other external entities as part of the proposal process.
    • Help tailor content to client priorities and solicitation requirements.
    • Conduct quality assurance checks on proposals, including proofreading for grammar, punctuation, and style consistency, as well as verifying the accuracy of the content.
    • Manage final production and on-time submission.
    • Close out and archive completed pursuits.
  • Support the maintenance of ECO’s internal marketing databases; maintain resumes, project descriptions, references, and other reusable qualifications content.
  • Monitor procurement portals and other sources for relevant opportunities.
  • Responsibly use emerging technologies, including AI-assisted tools, where appropriate and consistent with firm policy.

Required Qualifications

  • Bachelor’s degree in communications, marketing, English, journalism, graphic design, public policy, or a related field, or an equivalent combination of education and relevant experience.
  • Excellent written, verbal, and facilitation skills.
  • Ability to communicate clearly with staff at different levels.
  • High level of organization and attention to detail.
  • Ability to work effectively under tight deadlines and manage multiple priorities.
  • At least one year of experience in proposal coordination, professional-services marketing, grant development, project coordination, technical editing, or a related field.

Preferred Qualifications

  • Proficiency with Microsoft Office, Google Workspace, and Adobe Acrobat; Preferred: Experience with Adobe InDesign and Deltek Vantagepoint, project-management, or content-management systems.
  • Experience in consulting, architecture, engineering, construction, or another deadline-driven professional-services environment is preferred.

Location

  • Portland, OR

ECOnorthwest offers a hybrid work schedule. To ensure opportunities for collaboration and teamwork, employees located near our offices are expected to prioritize in-office work Tuesday through Thursday.

The position will initially be scheduled for 32 hours per week, with the potential to increase to up to 40 hours per week based on business needs, workload, and the employee’s success in the role. Any increase in hours is not guaranteed and will depend on both the organization’s needs and the employee’s performance and interest in taking on additional hours. This role is eligible for ECO’s full benefits package.
