POSITION OVERVIEW
The Event Specialist is a highly organized, detail-oriented professional responsible for supporting the planning, execution, and administration of The Summit and related events, and other in-person and virtual activations. This role serves as a key operational and administrative partner to the President and Director, ensuring seamless coordination across contracts, billing, logistics, vendor management, sponsors, delegates, speakers, and VIP stakeholders.
Atlanta or East Coast–based candidates preferred. This position may be remote, with required presence at Atlanta HQ and domestic and international travel as needed.

CORE RESPONSIBILITIES
• Provide comprehensive administrative and organizational support to the President
• Deliver day-to-day event planning and execution support to the Director
• Serve as a central point of coordination for internal teams and external partners
• Maintain accurate records for all event-related contacts, contracts, deposits, and financial documentation
PRINCIPAL DUTIES
Event Planning & Onsite Execution
• Support planning, production, and execution of The Summit and other FTG events as required
• Oversee Breakout session Sessions logistical support and onsite coordination
• Oversee event logistics including review and management of BEOs onsite, support with rooms and other vendors of The Summit
Contracts, Billing & Financial Tracking
• Prepare and manage vendor contracts
• Support President and Event Director with sponsorship contracts and renewals
• Create and maintain a centralized contract and deposit database
• Track billing and invoices ensuring accuracy and approvals
Speaker & VIP Logistics
• Coordinate speaker and VIP travel, schedules, and agreements
• Support VIP hospitality and gifting
Executive & Administrative Support
• Provide administrative and deadline-tracking support to the President and Director
• Coordinate calls, appointments, and speaking engagements
SKILLS & QUALIFICATIONS
• Experience in luxury event planning or hospitality preferred
• Exceptional organizational and time management skills
• Strong attention to detail and confidentiality
• Excellent written and verbal communication skills
• Ability to adapt to changing priorities
• Ability to work across international time zones
• Proficient in Microsoft Office, Salesforce, Cvent, Zoom, Teams
