Payroll and Administrative Coordinator

At Gaspar's we believe - if you live in it, you should love it.

Our mission is to uplift 20,000 lives by 2035. For our employees, that means a culture where you can grow, contribute meaningfully, feel proud of your work, and be supported as a whole person. Gaspar’s recently won Puget sound Business Journal’s “Best Places to Work” in 2026.

About the Role

Every Friday, our team gets paid on time and paid right. That happens because of the person in this seat.

We're looking for a detail-driven payroll professional who knows construction, loves a clean reconciliation, and wants to be the steady, trusted resource our employees and managers turn to every week. You'll own our weekly payroll from timecard to direct deposit, keep our tax and withholding payments accurate and on time, and back up our Senior Controller on banking and reconciliation. If you take pride in getting it right the first time, and in helping people when something isn't right, we'd love to meet you.

What you'll do

Own the weekly payroll cycle

  • Review approved timecards in our timecard app, export them into Sage 100, and process weekly payroll, posting by noon each Wednesday.
  • Upload payroll and employee reimbursements in time for Friday direct deposit.
  • Make sure every calculation is right: employee-requested withholdings, draw repayments, deductions, and more, with a target accuracy rate of 98% or better.
  • Pay weekly payroll taxes, child support, retirement contributions, and other remittances accurately and on time, so we never pay a late fee or penalty.

Be the go-to resource for employees and managers

  • Serve as the liaison between our timecard app and employees, troubleshooting issues and helping people get it right.
  • Act as the weekly point person for managers who need to report issues or corrections while approving timecards.
  • Run weekly labor reports (hours and job-hour reports) and share them with the management team to support job costing and decision-making.

Support the Finance team

  • Make bank deposits as needed.
  • Back up the Senior Controller on checking account monitoring, deposits, and bank reconciliation, and provide HR back up as needed.
  • Help improve our payroll systems and practices as we grow.

Qualifications

  • Willingness to help employees in people-first environment.
  • 3–5 years of payroll processing experience, ideally weekly payroll for an hourly workforce
  • 3–5 years of construction accounting and job costing experience
  • Experience implementing or improving payroll systems and practices
  • Working knowledge of federal, Washington State, and local payroll tax requirements and deadlines
  • Experience with Sage 100 or a similar accounting system, plus comfort learning new payroll tools and timekeeping apps
  • Proficiency in Excel, Word, and Outlook
  • Sharp attention to detail and a high level of integrity and confidentiality
  • Clear, patient communication, especially when helping employees and managers solve timecard or pay questions
  • Strong follow-through and the ability to meet firm weekly deadlines
  • Experience with benefits administration
  • Experience with complex bonus and commission calculations

Is This Role Right for You?

You'll thrive here if you like routine done right, take ownership when something doesn't add up, and speak up early instead of hoping a problem goes away. If you prefer loose deadlines, or see double-checking and documentation as optional, this probably isn't the right fit.

This role sits on our Finance career pathway, with room to grow for someone who wants to keep building their skills.

What We Offer

  • Medical covered at 80%; supplemental dental, vision, life, and other optional policies available
  • 401(k), pretax or Roth, plus company match
  • Separate paid vacation and sick time banks
  • 11 paid holidays, including 4 days between Christmas and New Year's Day
  • Tuition reimbursement for professional development
  • Team connection, collaboration, and company celebrations

The pay range for this role is

$85,000 to $100,000 per annum

We Encourage You to Apply
