Role Mission

At Ultimate Jet Vacations, every advisor relationship starts with a first impression, and how quickly and accurately we respond shapes whether that advisor becomes a long-term partner.

We’re looking for an Associate, Advisor Partnerships who will serve as the front line of our Business Development team: qualifying and onboarding new advisors, owning the day-to-day management of our micro-account book, and keeping our reporting and systems accurate so BD leadership can act on real numbers.

Responsibilities
Inbound Client Support & Qualification

  • Review client intake forms and promptly route them to the appropriate Destination Specialist for introduction.
  • Reach out to clients when follow-up is needed, answering questions or inviting them to join weekly open forums.
  • Host weekly open forums for prospective clients to ask questions and better understand UJV’s services, running these sessions independently with confidence and charisma.
  • Support the onboarding process for new clients, ensuring their early interactions with UJV are seamless and professional.
  • Manage the qualification process, determining which prospects should move forward and, when someone is not a fit, communicating this clearly and empathetically.

Micro-Account Management

  • Own day-to-day management of the micro-account book (advisors/accounts below the volume threshold for a dedicated Destination Specialist), serving as their primary point of contact.
  • Monitor micro-account activity and production, flagging growth opportunities for promotion into the standard BD/Destination Specialist book.
  • Conduct periodic check-ins with micro accounts to maintain engagement and address basic needs without requiring Destination Specialist involvement.
  • Maintain accurate records for all micro accounts in HubSpot/Admin, ensuring a smooth handoff if an account is reassigned or graduates to a larger book.

Reporting & Data Management

  • Own reporting on new agent signups, conversion rates, and sales activities, ensuring data is accurate and actionable.
  • Review, pull, and maintain reports in Tableau and other platforms, collaborating with the BI Analyst on report creation and ongoing maintenance.
  • Update and ensure accuracy of data in Admin and HubSpot, including leads, client interactions, and sales activities.
  • Run production reports and provide insights for account reviews, client meetings, and BD initiatives.

Business Development Team Support

  • Manage the BD shared inbox and route inquiries as appropriate.
  • Assist with BoB (Book of Business) reassignments and outreach campaigns for BD engagement.
  • Partner with the BD Logistics Coordinator to support webinars, events, and other engagement efforts.
  • Support directors and team members with ad-hoc projects and initiatives.

Client & Marketing Engagement

  • Share client feedback with Marketing to inform campaigns and strategies.
  • Assist with webinars, including registration, follow-ups, and attendee engagement.

Qualifications

  • 2+ years of experience in a client-facing, business development, or account management role (travel industry experience, such as travel agency, tour operator, or DMC, preferred).
  • Native or fully fluent English communication skills, both written and verbal.
  • Strong organizational skills with the ability to manage a high volume of client requests, micro accounts, and reporting tasks simultaneously.
  • Proficiency with CRM and reporting tools (HubSpot, Tableau, or similar) and a high attention to detail in maintaining accurate data.
  • Confident and empathetic communicator, able to host client sessions with ease and manage “not a fit” conversations professionally.
  • Adaptable team player, comfortable supporting a range of business development and marketing initiatives.

Bonus Points

  • Prior experience managing a book of accounts or portfolio, particularly in a luxury travel, hospitality, or advisor-facing environment.
  • Familiarity with lead-to-conversion tracking or funnel reporting.
  • Bilingual in English and Spanish or Portuguese.
  • Comfortable leveraging AI tools (ChatGPT, Claude, Gemini, or similar) to improve productivity and workflows.

  • You’re adaptable, moving comfortably between BD support, marketing engagement, and direct account ownership as priorities shift.
