Project Coordinator, Site Services

Role Overview

The Project Coordinator provides hands-on, detail-driven support across estimating, contract review, procurement, cost control, and reporting. This role is critical to ensuring projects are set up correctly, costs are controlled, invoices are accurate, and data supports sound decision-making.

This position is ideal for someone who is strong in Excel, capable in Power BI, and comfortable working with estimates, contracts, POs, approvals, and invoice attestation.


Key Responsibilities

Estimating & Pre-Execution

  • Support estimating activities including quantity take-offs, cost build-ups, and pricing summaries
  • Maintain estimating templates and historical cost data
  • Support handover from estimating to operations to ensure scope, assumptions, and risks are understood

Contract & Commercial Support

  • Assist with review of contracts, subcontracts, POs, and work orders
  • Track commercial terms, payment provisions, changes, and key obligations
  • Maintain contract and change logs

Procurement, POs & Invoice Control

  • Set up and manage purchase orders aligned with approved budgets and contracts
  • Coordinate approval workflows for POs, changes, and commitments
  • Support invoice verification and attestation, ensuring alignment with POs, contracts, quantities, and rates
  • Resolve invoice discrepancies with operations, finance, and vendors

Cost Control & Reporting

  • Track budgets, commitments, actuals, and forecasts
  • Analyze and report cost variances
  • Support monthly reporting, accruals, and forecasts

Data & Analytics

  • Build and maintain Excel-based estimating and cost control tools
  • Develop and maintain Power BI dashboards for project and leadership reporting
  • Ensure data accuracy, consistency, and version control


Required Qualifications

  • 3+ years’ experience in a Project Coordinator, Project Controls, Estimating, or similar role
  • Strong experience with estimating, cost control, and project financials
  • Experience with PO setup, approvals, and invoice attestation
  • Advanced Excel skills (formulas, pivots, structured trackers)
  • Experience using Power BI for reporting and dashboards
  • Highly detail-oriented with strong organizational skills


Interview Requirement

Candidates must demonstrate Excel and Power BI skills during the interview.
This includes walking through tools, dashboards, or reports they have built or used in a project environment.
