About the role:
The Executive Assistant (EA) to the CEO plays a critical role in enabling the CEO to operate effectively and focus on the highest-priority strategic and operational outcomes of the business. Working closely with, and reporting to, the Executive Business Partner, this role focuses on tactical execution, administrative excellence and maintaining operational momentum across calendars, meetings, communications, travel and events.

Key responsibilities:
Calendar & Meeting Management
- Manage and coordinate daily scheduling for the CEO ensuring priorities are reflected in time allocations.
- Schedule and prepare meetings, including drafting agendas, booking rooms/VCs, collating briefing materials and noting key actions.
- Track and follow up on action items in collaboration with the Executive Business Partner.
Travel & Event Coordination
- Coordinate domestic and international travel arrangements, including itineraries, bookings and logistics.
- Support the planning and execution of events, demonstrations and trade shows, including registrations, vendor coordination and on-site logistics.
Administrative & Operational Support
- Complete and manage forms, documentation and internal approvals on behalf of executives.
- Maintain and update executive to-do lists, helping prioritise time-sensitive tasks and flagging emerging issues.
- Assist with monthly reconciliation, including expense tracking and processing and budget support for the Office of the CEO.
Presentation & Document Preparation
- Assist with the preparation and formatting of presentations, reports and briefings.
- Draft internal and external correspondence, with oversight from the Executive Business Partner.
Communication & Coordination
- Liaise with internal teams and external stakeholders to coordinate activities on behalf of the CEO.
- Monitor inboxes and ensure timely follow-up and actioning of routine correspondence when required.
Marketing & Social Media Support
- Support the coordination and scheduling of executive social media activity in collaboration with the marketing team.
- Assist with basic content uploads, formatting, or promotional material preparation for public-facing channels.
Project, Compliance & Office Support
- Support the Executive Business Partner in executing internal projects by managing logistics, documentation and deadlines.
- Assist with compliance-related activities including form submissions, policy tracking, audit preparation and documentation reviews.
- Support office-based updates and modifications, including coordinating minor improvements or space planning that enhances executive workspaces.
- Ensure a professional and welcoming environment for guests of the CEO, including meeting preparation and hospitality.
Your experience and skills:
- Proven experience as an executive assistant or similar role supporting leaders.
- Exceptional organizational and time management skills.
- Exceptional written communication skills with the ability to craft polished and impactful messages.
- Proficient in Microsoft Office, Xero and other relevant software.
- A positive attitude that thrives in a fast-paced environment.
- Ability to pivot and adapt to ever-changing priorities with ease.
- A firm and effective approach to keep a dynamic team of technical experts on course.
- Bachelor's degree in Business Administration, Commerce, Accounting, or Communications, or 3 years relevant work experience.
