About the role
In 2024, BuildPass has grown from 16 to ~30 full-time employees. 3x'd Revenue, opened up new markets in the US, and released products at lightning pace. All this is to say - we are scaling rapidly, however the time of our Founder & CEO's is not.
This role is designed to fill that gap. Helping our founder scale his time so we can have even more of an impact in 2025. You will effectively be the right-hand person to our leader. Playing a pivotal role in enabling strategic priorities, ensuring operational efficiency, and enhancing executive impact.
This role is ideal for someone who thrives in a fast-paced startup environment, anticipates needs before they arise, and enjoys wearing multiple (hard) hats. With our company doubling in size over the next year, you’ll have a unique opportunity to influence how our leadership team operates at scale.
Key responsibilities
- Managing our CEO's complex, and ever expanding calendar.
- Co-ordinate high-stakes meetings for our CEO - from key clients to executive team summaries.
- Work closely with the CEO to prepare briefing materials, track priorities, take notes and follow up actions.
- Co-ordinate interstate and international travel schedules, candidate interviews, expenses and team events in Australia & Overseas.
- Collaborate with the Executive Leadership Team, supporting strategic initiatives and being empowered to manage up.
- Manage our Melbourne Office. Ensuring that our team members and office environment is everything you need to run a smooth operation.
- General Administrative duties - Perform a range of administrative duties in order to support the wider organisation. We all "sweep the floors" from time to time!
About you
- Background: 3+ years of experience as an EA or similar experience in a T1 consulting firm, bank or technology company.
- Master of Details: You can handle multiple priorities seamlessly. You love being in the details and as they say in the trades - "Measure Twice, cut once".
- Champion of Collaboration: You're a strong communicator, both written and verbally. As a hybrid workplace, you'll need to be comfortable with working both Asynchronously, and in person.
- Resourceful & Efficient: Startups are never straight forward! You will need to be comfortable with ambiguity, be resourceful and efficient. We're an incredibly fast moving environment where this will be key to your success.
- Own Your Impact: You have a high level of agency. You are naturally a solutions first person. When you see a problem, you don't leave it to someone else to clean up.
