Team Assistant

The Role

You’ll be responsible for managing the Executives schedule, travel, meetings, and general workflow. This is a hands-on role suited to someone who loves solving problems before they arise, and can stay two steps ahead.


About you

You’re organised, proactive, and tech-savvy, thriving in fast-paced environments. You stay calm under pressure, juggle multiple priorities, and keep the Executive focused on what matters. Problem-solving comes naturally, and you enjoy finding practical solutions to keep the business running smoothly.


You don’t need a formal EA/PA title, experience in office support, admin, project management or team assistance is enough. What matters most is your mindset: adaptable, capable, and ready to step in wherever needed. Flexible work arrangements are supported to help balance life and family commitments.


Key Roles and Responsibilities:

  • Manage the Executive’s calendar, meetings, travel, and events; ensure accuracy and confirmations.
  • Greet and assist guests and clients via phone, video, or in person.
  • Prioritise and manage Executive’s communications, including emails, calls, and documents.
  • Track and follow up on tasks and actions from meetings and stakeholders.
  • Draft and proof documents; handle admin such as DocuSign, formatting, and minutes.
  • Submit and manage expenses for the Executive and direct reports.
  • Liaise with internal and external EAs.
  • Book car services, run occasional errands, and assist with personal tasks.
  • Provide support to other senior leaders as needed.


Skills, Knowledge and Experience:

  • Previous Team Assistant or Office Coordination experience is essential
  • Excellent verbal communication and able to communicate with others in a warm and helpful manner while simultaneously building credibility and rapport.
  • Excellent written communication
  • Ability to develop realistic action plans while being sensitive to time constraints and resource availability
  • Ability to prioritise, organise and schedule tasks
  • Analytical skills
  • Attention to detail and accuracy is vital
  • Demonstrated problem solving skills
  • Results driven
