What’s the job?
The Campus Manager will be the primary point of contact for stakeholders, including university partners, program staff, students, parents, and internal teams. Beyond managing operations, you'll ensure the campus environment is positive and engaging, maintaining a high level of summer spirit.
You'll also oversee logistics, adhere to policies from the home office, and refine processes to enhance campus efficiency. Continuous monitoring, troubleshooting, and real-time adjustments will be essential to meet the high expectations of our organization and university partners. Your leadership will create a thriving environment, ensuring an exceptional and impactful summer experience for all involved.
Summer Discovery is a growing company with a seasonal business, so flexibility and the ability to pivot will be important. You’ll work hard, occasionally in the evenings, and during the summer, you will spend time on campus and will work to run the program. This role is hybrid and will work out of our NY City Metro/Long Island Office and will require occasional travel to training, meetings, recruiting activities during the year. This role will also involve 6+ consecutive weeks on a campus in a summer position between June-August.
Essential Functions
Campus Operations Management: Oversee and manage all aspects of campus operations to guarantee the successful execution of summer programs, beginning with preparatory activities well before the summer season. Be the subject matter expert for all details of your campuses and program. This includes overseeing budget and financial management for each campus under your responsibility, coordinating with Seasonal Directors and Part-Time Staff for summer preparation, and monitoring enrollment numbers to plan for housing and staffing needs. The Campus Manager will create dynamic programming and calendars. Additionally, you will orchestrate logistical arrangements, manage facility setup and upkeep, and ensure that all activities adhere to program standards and university partner guidelines, all while embodying the vibrant spirit of Summer Discovery.
Stakeholder Liaison & Cross-functional Communications: Act as the principal point of contact for university partners, program staff, students, and parents. Cultivate and sustain strong relationships with these stakeholders, promptly and effectively addressing any concerns or issues. Aim to deliver the highest level of satisfaction and ensure smooth and efficient program operations. For internal stakeholders, be the central point of up-to-date information. Partner with marketing and sales to communicate any changes and ensure website campus pages and courses are updated as new information is available. Act as the principal point of contact for all stakeholders across a varied portfolio of campuses. Build and sustain strong relationships, adapting your approach to the unique needs of each campus type, whether directly engaging with families or coordinating with institutional partners behind the scenes.
Operational Planning and Execution: Formulate, implement, and oversee comprehensive operational plans for summer programs. Coordinate with universities to ensure excellent academic experience. Partner with the recruiting team to recruit seasonal staff for your campuses and attend hiring events and fairs. Ensure efficient execution of all logistical and
administrative tasks, including scheduling, resource allocation, and adherence to program timelines. Thoroughly manage and understand the contracts associated with the programs under your purview.
Demonstrate flexibility and adaptability to evolving program needs and business priorities, enthusiastically and proactively taking on special projects, additional tasks, or cross-functional support as necessary to ensure smooth operations and meet organizational goals.
Compliance with Policies and Protocols: Adhere strictly to all policies and protocols for summer operations as set by the home office and comply with the procedures outlined in university contracts. Educate yourself on ACA Standards, local laws, and university policies to ensure they are properly executed. Ensure that campus operations align with these guidelines, encompassing safety protocols, administrative processes, and quality standards.
Academic Management: Assist in designing and managing exceptional course offerings for your assigned campuses. This includes the creation of new course concepts, crafting job descriptions, curriculum briefs, and finalizing the entire academic offering. Manage course registration and utilization for your assigned campus(es), approve student selections, and partner with sales and marketing on courses that may require additional promotion. Additional academic responsibilities may include; managing academic space needs with university partners, guest speaker coordination, equipment ordering, etc. Engage with parents, students, school counselors, and other stakeholders to support achievement of company enrollment targets. Contact applicants by phone to support recruitment efforts for each campus you are responsible for. Participate in and lead field sales efforts by visiting schools and attending fairs and other events in your region to encourage brand awareness and drive qualified leads to the sales funnel. Deliver exceptional post-enrollment customer service to ensure a positive and seamless experience for all participants.
Campus Spirit and Engagement: Take on a leadership role on campus to create a high-dynamic environment. Cultivate a lively and engaging campus atmosphere that reflects the program’s values and, when applicable, the dedication of Summer Discovery and its partners to high academic standards. Infuse every aspect of your role with a strong sense of summer spirit, and support activities that foster student and staff engagement, creating an enriching and memorable experience. Think outside the box to develop new programming initiatives that will move the program forward and continually enhance the overall experience. Team Leadership and Support: Supervise and mentor campus staff to ensure they meet performance expectations and effectively contribute to program success. Offer guidance, training, and constructive feedback to maintain high standards of service delivery. Also, assist with seasonal recruitment efforts leading up to the summer season.
Problem Solving and Troubleshooting: Monitor program activities closely to identify and resolve any emerging issues or challenges. Make real-time adjustments to operational plans as necessary to ensure smooth and efficient program execution. Demonstrate agility and a flexible approach to address dynamic situations.
Quality Control and Improvement: Regularly evaluate and refine operational processes to boost efficiency and effectiveness. Introduce best practices and innovative solutions to enhance program delivery and achieve superior outcomes.
Reporting and Documentation: Maintain precise records and documentation related to campus operations, including attendance, incident reports, staffing issues, financials, and feedback. Prepare and submit reports as required by the home office and other relevant stakeholders.
