ABOUT THE ROLE


We are seeking an exceptionally organized, hospitality-minded Remote Property Manager to oversee a portfolio of high-end vacation rental properties. In this role, you will serve as the primary point of contact for property owners and guests alike, ensuring every touchpoint — from initial owner onboarding to post-stay guest follow-up — reflects the white-glove standards our brand is known for.

This is a remote-first position requiring strong self-direction, sharp communication skills, and a genuine passion for delivering exceptional experiences. You will manage complex, multi-stakeholder relationships while keeping a close eye on property performance, financials, and operational efficiency across your assigned portfolio.

KEY RESPONSIBILITIES

Owner Relations

  • Serve as the dedicated point of contact for property owners, building trusted, long-term relationships
  • Provide owners with regular performance reports covering occupancy, revenue, guest satisfaction, and property condition
  • Proactively communicate property issues, maintenance needs, and market opportunities
  • Conduct periodic owner calls and reviews, presenting data-driven insights and recommendations
  • Facilitate onboarding of new properties to the portfolio, including property audits and setup coordination

Guest Experience

  • Oversee the full guest journey from pre-arrival communication through post-departure follow-up
  • Respond to guest inquiries and resolve issues promptly, ensuring satisfaction at every touchpoint
  • Coordinate concierge-level services including local recommendations, special occasion arrangements, and custom requests
  • Review and respond to guest feedback and ratings; identify patterns and implement improvements
  • Maintain and update guest-facing property information, house manuals, and welcome materials

Asset Management

  • Monitor property condition and performance, coordinating regular inspections with local teams
  • Track and manage property inventories, furnishings, appliances, and amenities
  • Evaluate capital improvement opportunities and present recommendations to ownership
  • Maintain detailed property records, including maintenance logs, inspection reports, and warranty documentation
  • Ensure all properties meet brand standards and local regulatory requirements

Vendor Management

  • Source, vet, and manage a network of local vendors including housekeeping, maintenance, landscaping, and specialty services
  • Negotiate service agreements and maintain up-to-date vendor contracts
  • Monitor vendor performance against SLAs and quality standards; address issues and rotate vendors as needed
  • Coordinate timely scheduling of recurring and one-off services across the portfolio
  • Build and maintain a reliable bench of backup vendors to ensure uninterrupted operations

Administrative & Financial Management

  • Develop and manage annual operating budgets for each property in your portfolio
  • Review, approve, and code vendor invoices; ensure accuracy and flag variances
  • Lead price negotiations with service providers and suppliers to achieve cost efficiencies
  • Track expenditures against budget and monthly financial summaries for owners
  • Maintain organized records of contracts, invoices, permits, and correspondence in the company's systems

Procurement & Supply Chain

  • Manage ongoing procurement of consumables (toiletries, cleaning supplies, linens, kitchen essentials) across the portfolio
  • Monitor inventory levels and establish par levels; coordinate replenishment ahead of high-occupancy periods
  • Source and order replacement items for furnishings, equipment, and décor as needed
  • Identify opportunities to consolidate purchasing and negotiate volume discounts
  • Coordinate deliveries with local teams and verify receipt and quality of all ordered goods


QUALIFICATIONS

Required

  • 4+ years of experience in property management, vacation rental operations, or luxury hospitality
  • Demonstrated ability to manage multiple properties or accounts simultaneously in a remote environment
  • Strong financial acumen — budgeting, invoice review, and cost negotiation experience required
  • Excellent written and verbal communication skills with a professional, polished demeanor
  • Tech forward: proficient with property management software, AI administration, etc
  • Exceptional organizational skills, attention to detail and high output over multiple tasks
  • Self-motivated with a proven ability to work independently and prioritize across competing demands

Preferred

  • Experience with luxury short-term rental brands or boutique hotel operations
  • Background in owner relations or asset management for investment properties
  • Knowledge of local STR regulations, licensing, and compliance requirements
  • Other language proficiency is a plus
