Role Overview
Audyence is looking for a highly organized and proactive Recruiting Coordinator & Office Operations Associate to support our growing team. This hybrid role is ideal for someone who thrives in fast-paced environments and enjoys both candidate-facing coordination and keeping office operations running smoothly. You’ll work closely with our Talent Partner to deliver an exceptional candidate experience while also ensuring our workplace is efficient, welcoming, and well-managed.
Key Responsibilities
- Recruiting Coordination (Primary Focus)
- Schedule interviews across multiple time zones and stakeholders
- Manage candidate communications and ensure a seamless experience
- Maintain ATS data accuracy and interview workflows
- Coordinate recruiting logistics (on-sites, virtual interviews, assessments)
- Support talent partner and hiring managers with administrative tasks
- Office Operations & Team Support
- Maintain overall office organization, cleanliness, and readiness
- Coordinate and manage in-office meals, snacks, and catering
- Oversee office supplies and inventory, ensuring the team has what they need
- Manage relationships with office vendors and service providers
- Support onboarding logistics for new hires (equipment, workspace, materials)
- Help create a positive, functional, and welcoming office environment
Qualifications
- 1–3+ years in recruiting coordination, office management, or similar role
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
- High attention to detail and reliability
- Experience with tools such as Rippling (HRIS), Microsoft 365, and Canva
- Comfortable with scheduling tools, ATS systems, and Microsoft Suite
- Ability to handle sensitive/confidential information
