Purpose
This position works to provide administrative coordination in key facets of the Contextual Learning department, especially in the areas of Clinical Pastoral Education (CPE), and Internships.
Under the dual supervision of the Associate Director of Candidacy and Vocational Formation & the Contextual Learning Associate, this position has internal working relationships with all Seminary departments and students as well as external relationships with pastors, congregations, faith-based, non-profits, synods, and judicatory offices.
Percentage breakdown:
This position is 50% CPE support under Assoc. Director Candidacy, and 50% Internship programming support under Contextual Learning Associate.
Administration
● Manages information and content within Internship & CPE databases (in coordination with the Registrar).
● Coordinates logistics for all CPE events hosted by Contextual Learning.
● Maintains the master team calendar for Internship & CPE events and meetings.
● Coordinates payments to internal and external partners for CPE in conjunction with the Business Office.
● Directs and tracks billing and payments for internship programs and associated fees.
● Processes payments for Internship Cluster Retreats.
● Maintains digital files for both the internship and CPE programs.
● Serves as a primary point of contact for departmental questions.
Programmatic Support
● Works with CL Program staff to update and maintain MyLutherNet/Moodle course pages in conjunction with Office of Technology staff (as appropriate).
● Communicates training event dates and details to participants, whether Internship Supervisor or students in the Internship Orientation Course (before the June/Aug/Jan sessions).
● As needed, field questions from current and prospective students to describe the CL curriculum. Directs students to appropriate team member.
● 4. Develops and maintains program literature and curates the online content, working with Contextual Learning staff to update and distribute materials when needed. Technology.
Relationship Building
● Provides hospitality and engenders trust among students, congregational leaders, and faith-based leaders through effective and continual interpersonal communication.
RELATIONSHIPS
● Reports to: Associate Director of Candidacy and Vocational Formation & Contextual Learning Associate. ● Internal Relationships: Contextual Learning staff, Business Office (billing), Office of Data (assessment), Registrar (updating and shared spreadsheets CPE/Internships), Office of Technology (Moodle course pages), ● Secondary Relationships: Student Affairs, Admissions, Marketing and Communications, Academic Dean, students, staff, and faculty. ● External Relationships: Congregational site staff, clergy, internship committees, judicatory bodies, and other ELCA seminaries. |
JOB SPECIFICATION
A. Commitment to Luther Seminary’s Mission and Vision.
B. Desired education and experience:
· Minimum of a Bachelor’s degree in communications, administration, religion, or other relevant area, together with significant work experience in a church, higher education, or Christian institution.
· Minimum of 3 years of administrative experience supporting multiple staff members.
· Experience with database/tracking systems
· Familiarity with ELCA and/or other mainline Christian denominations.
· Work experience in higher education preferred.
C. Desired knowledge, skills, and abilities:
Exemplary written and verbal communication skills
· Experienced in process design, information architecture, user-friendly interfaces, and teaching
· Strong computer skills - fluency with Microsoft applications Word, Excel, and PowerPoint; G Suite (Google-based office programs), knowledge of Jenzabar, WordPress, Qualtrics, Moodle, and Creative Suite (specifically video editing)
· Welcoming presence and appreciation for hospitality
· Keen project management skills and managing teams within a higher education context
· Interest in the education and formation of Christian public leaders
· Collaborative spirit, ecumenism, and a desire to be an integral part of a team
· Adaptability and resiliency in the face of change and a good sense of humor.
