Summary of Overall Job:
The Program Manager drives the coordination and execution of cross-functional programs, events, and council initiatives across the CDG and CDE teams. This role manages program timelines, workflows, and stakeholder communications to ensure successful delivery of research, events, and member engagement initiatives.
This position is responsible for program management and operations, requiring strong organizational leadership, proactive problem-solving, and the ability to manage multiple concurrent projects. The Program Manager partners closely with Program Managers, Event Leadership, and cross-functional teams to deliver high-impact programs on time and with consistency.
Overall Responsibilities:
Program & Project Coordination
Coordinate and manage project timelines for key initiatives including Digital States, Digital Cities/Counties, Councils, and education programs
Build and maintain project plans and workflows within Salesforce and Asana to ensure visibility and accountability
Create projects within Salesforce for tracking of progress
Track project milestones, deliverables, and dependencies, proactively identifying risks and ensuring timely resolution
Facilitate project kick-offs, recurring status meetings, and cross-functional check-ins to align stakeholders
Monitor program performance against deadlines and support continuous process improvements to enhance delivery efficiency
Council & Member Support
Manage and maintain council and advisory board operations, including member tracking, communications, and engagement workflows
Oversee annual updates to council charters, ensuring alignment with organizational goals and stakeholder expectations
Coordinate logistics, scheduling, and communications for council meetings and initiatives, ensuring seamless execution
Event & Program Support
Support end-to-end execution of virtual and in-person events, including webinars, roundtables, and conferences
Coordinate cross-functional event deliverables, including production requests, speaker logistics, and web updates
Manage speaker onboarding processes, including collection of bios, headshots, and session materials
Oversee event-related communications, travel coordination, and post-event follow-ups to ensure a high-quality participant experience
Content & Research Support
Coordinate development and delivery of research reports, program materials, and content assets
Review and proof materials to ensure accuracy, quality, and alignment with program objectives
Collaborate with research and editorial teams to manage timelines and ensure on-schedule publication
Data & Systems Management
Maintain accurate and up-to-date program data across Salesforce and internal systems to support reporting and decision-making
Track program metrics, contacts, and engagement activities to improve visibility into program performance
Leverage tools including Asana, Salesforce, Excel, and AI tools to streamline workflows and enhance operational efficiency
Support data-driven outreach by coordinating list pulls and maintaining organized documentation
Cross-Functional Collaboration & Operations
Partner with research, marketing, events, and web teams to align on program goals and execution plans
Serve as a central coordination point across teams to ensure clarity, accountability, and progress
Provide operational and logistical support across multiple concurrent initiatives
Contribute to special projects and process improvements to enhance program scalability and effectiveness
Skills/Qualifications:
Bachelor’s degree or equivalent work experience
5-7 years of experience in program coordination, project management, events, or related field
Strong project management skills, including planning, prioritization, and execution across multiple initiatives
Proven ability to manage competing priorities in a fast-paced, deadline-driven environment
Excellent written and verbal communication skills, with experience coordinating across stakeholders
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Preferred experience with Asana or other project management tools
Experience with Salesforce
Preferred Qualifications
Experience with project management tools (e.g., Asana)
Familiarity with Salesforce or other CRM systems
Experience supporting events or multi-component programs
