About the role

Aalo Atomics is seeking a highly organized, detail-oriented, and proactive HR Coordinator to join our People Team on-site at our headquarters in Austin, Texas. This role serves as a critical operational backbone for the company, ensuring employees and candidates experience seamless onboarding while keeping our HR operations and regulatory compliance running at the highest standard. The ideal candidate thrives in a dynamic startup setting, enjoys managing details, and serves as an approachable, knowledgeable point of contact for employees.

This individual will be responsible for employee onboarding, benefits guidance, HR compliance maintenance, audit readiness, employee file management, and HQ event scheduling while partnering closely with leadership and cross-functional teams locally and across regional sites. This role is based on-site in Austin, Texas.

What you'll do

  • Onboarding & Benefits Guidance: Coordinate and execute new hire onboarding activities for Austin-based and remote employees. Guide staff through benefits selections, open enrollment, and plan options, serving as a dependable, clear resource for employee inquiries.
  • HR Compliance & Audit Readiness: Maintain rigorous compliance with federal, Texas state, and local labor regulations. Complete in-person I-9 document verifications, manage E-Verify submissions, perform recurring HR file audits, and ensure all employment practices and records meet audit-ready standards.
  • Records & Data Integrity: Maintain digital and physical employee files with high accuracy, confidentiality, and data privacy.
  • Continuous Improvement: Proactively spot compliance gaps, streamline administrative workflows, and refine HR documentation and playbooks as the company scales.

Duties Include But Are Not Limited To

  • Execute physical and digital I-9 verifications, reverifications, and E-Verify cases in strict compliance with federal regulations.
  • Conduct regular internal audits of personnel files, onboarding documents, and HRIS data to maintain regulatory compliance and audit readiness.
  • Ensure Austin headquarters workplace compliance, including mandatory federal and Texas labor law postings, record retention schedules, and required notices.
  • Guide new hires through benefits orientation and assist employees with plan comparisons, enrollment deadlines, and qualifying life event updates.
  • Serve as the primary point of contact for routine employee inquiries regarding health plans, retirement benefits, paid leave, and company policies.
  • Coordinate new hire orientation sessions, paperwork tracking, and onboarding milestone check-ins.
  • Partner with IT, Workplace, and Facilities teams to ensure equipment and access readiness for incoming team members.
  • Support employee lifecycle changes, including promotions, department transfers, leaves of absence, and offboarding processes.
  • Prepare recurring compliance reports, People Team presentations, and company-wide policy communications.
  • Collaborate with People Team leadership to maintain standard operating procedures and compliance alignment across all operating sites.

Qualifications

  • Experience: 3+ years of experience in Human Resources, People Operations, Compliance Support, or a related role.
  • Compliance Expertise: Demonstrated hands-on experience managing I-9 compliance, E-Verify, employee file retention, and standard employment laws.
  • Benefits Administration: Proven experience guiding employees through benefits selections, plan comparisons, and open enrollment.
  • Systems & Tools: Proficiency with modern HRIS and benefits platforms, preferably Rippling, and Microsoft Office Suite.
  • Coordination Skills: Strong track record in scheduling, calendar management, onboarding execution, and event coordination.
  • Communication & Collaboration: Excellent written and verbal communication skills with the ability to build strong working relationships across departments.
  • Location & Travel: Ability to work on-site at our Austin, Texas headquarters, with occasional travel to other company facilities as needed.
  • Education: Bachelor's degree in Human Resources, Business Administration, or a related field preferred; or equivalent practical experience.

Preferred Qualifications

  • Familiarity with Texas employment laws, multi-state compliance, and federal contractor / energy / manufacturing industry standards.
  • Prior experience operating within a high-growth startup, engineering, energy, or deep-tech environment.
  • HR certification (such as SHRM-CP or PHR) demonstrating strong foundation in HR compliance and operations.
  • Based in the United States
  • Willing to work on-site in Austin, TX
