Position Title: Medical Assistant (MA)

Reports To: Physician Owner, Practice Manager, or Clinical Supervisor
FLSA Status: Non-Exempt (Hourly)
Location: Bixby, Oklahoma
Employment Type: Full-Time


Position Summary

The Medical Assistant (MA) serves as a critical member of the Bluestem Family Medical clinical team and is responsible for supporting physicians and other healthcare professionals in the delivery of high-quality, patient-centered care. The Medical Assistant performs clinical, administrative, and patient-care support functions within the scope permitted by Oklahoma law, federal regulations, organizational policies, and physician delegation.

The Medical Assistant promotes patient safety, quality outcomes, regulatory compliance, and exceptional customer service while helping maintain efficient clinic operations. This position requires professionalism, confidentiality, compassion, attention to detail, and the ability to work effectively with patients of all ages.


Essential Functions and Responsibilities

Clinical Duties


Patient Intake and Rooming

Greet and escort patients to examination rooms.

Obtain and document:

  • Chief complaint
  • Vital signs
  • Height and weight
  • BMI
  • Pulse oximetry
  • Medical history updates
  • Medication reconciliation
  • Allergies
  • Tobacco use status
  • Social history updates

Prepare patients for examinations and procedures.

Ensure accurate documentation in the Electronic Health Record (EHR).

 

Clinical Support

Assist providers with:

  • Routine examinations
  • Minor office procedures
  • Injections and immunizations
  • Point-of-care testing
  • EKGs
  • Ear lavage
  • Wound care
  • Suture removal
  • Splint application
  • Specimen collection and processing
  • Venipuncture (if trained and competency verified)
  • CLIA-waived laboratory testing


Medication Administration

Under physician or authorized provider delegation and consistent with Oklahoma law:

  • Administer vaccines
  • Administer injectable medications
  • Administer oral medications
  • Document medication administration accurately
  • Monitor and report adverse reactions


Diagnostic Testing

Perform and document:

  • EKGs
  • Spirometry (if applicable)
  • Hearing screening
  • Vision screening
  • Point-of-care laboratory testing
  • Urinalysis
  • Rapid strep testing
  • Influenza testing
  • COVID testing
  • Pregnancy testing
  • Other CLIA-waived tests approved by the practice


Care Coordination

  • Facilitate referrals.
  • Coordinate diagnostic testing.
  • Obtain medical records.
  • Assist with prior authorizations.
  • Communicate provider instructions to patients.
  • Support chronic care management workflows.


Administrative Duties


  • Scheduling and Registration
  • Schedule appointments.
  • Verify patient demographics.
  • Update insurance information.
  • Assist with patient registration.
  • Coordinate follow-up appointments.


Documentation

  • Maintain accurate medical records.
  • Scan and upload documents.
  • Process forms and records requests.
  • Ensure documentation meets organizational standards.


Telephone Triage Support

Within established protocols:

  • Receive patient calls.
  • Route clinical concerns appropriately.
  • Schedule urgent appointments when indicated.
  • Escalate emergencies immediately.

Medical Assistants shall not independently diagnose, assess, or provide medical advice beyond approved protocols.


Infection Prevention and Safety

  • Follow OSHA Bloodborne Pathogens standards.
  • Utilize appropriate personal protective equipment (PPE).
  • Maintain examination room cleanliness.
  • Disinfect equipment and patient-care areas.
  • Properly handle and dispose of biohazardous materials.
  • Follow CDC infection-control guidelines.
  • Participate in emergency preparedness activities.

Required Qualifications


Education

Must possess one of the following:

  • High school diploma or GED and completion of an accredited Medical Assistant training program; or
  • Equivalent military medical training; or
  • Relevant healthcare experience acceptable to the practice.


Experience

Preferred:

Minimum three (3) year of Medical Assistant experience in:

  • Family Medicine
  • Primary Care
  • Internal Medicine
  • Pediatrics
  • Urgent Care

New graduates may be considered.


Certification Requirements

Although Oklahoma does not currently license Medical Assistants, BSFM strongly prefers nationally certified Medical Assistants.

Required certifications include one or more of the following:


American Association of Medical Assistants (AAMA): Certified Medical Assistant (CMA)

National Healthcareer Association (NHA): Certified Clinical Medical Assistant (CCMA)

American Medical Technologists (AMT): Registered Medical Assistant (RMA)

National Center for Competency Testing (NCCT): National Certified Medical Assistant (NCMA)

National Association for Health Professionals (NAHP): Certified Medical Assistant (CMA)


Required Certifications in Addition to the Medical Assistant Certification:

Must possess or obtain within 90 days of hire:


  • Basic Life Support (BLS)
  • American Heart Association (AHA) BLS Provider; or
  • Equivalent employer-approved certification

Scope of Practice Limitations

Medical Assistants at BSFM:

May:

  • Perform delegated clinical tasks
  • Administer medications under delegation
  • Perform approved laboratory testing
  • Collect specimens
  • Document clinical information
  • May Not:
  • Diagnose medical conditions
  • Independently assess patients
  • Develop treatment plans
  • Prescribe medications
  • Independently interpret diagnostic results
  • Practice nursing without appropriate licensure
  • Perform tasks prohibited by Oklahoma law

All duties shall be performed under appropriate physician or authorized provider supervision and delegation.
