Work Location: This hybrid position is currently expected to be in the office two days per week, with the option to work remotely up to three days per week. Occasional additional onsite presence may be required based on business needs or operational priorities.

The Position

We are seeking a friendly, organized, and proactive receptionist to support daily office operations and create a welcoming environment for employees and visitors. This role is highly visible and plays a key part in maintaining a professional workplace experience.

Key Responsibilities

Front Desk & Visitor Experience

  • Greet and welcome visitors and vendors with a professional and friendly demeanor
  • Manage front desk coverage and ensure a consistent on-site presence
  • Coordinate visitor check-ins and departures, notify employees of arrivals, and maintain an accurate visitor log.
  • Partner with Executive Assistants and HR Team to coordinate logistics for visitors and candidates for employment (e.g., room scheduling, arrival timing)
  • Partner with Executive Assistants to coordinate logistics for remote and New York employees
  • Maintain a clean, organized, and welcoming reception area

Office Operations & Support

  • Stock and maintain kitchen supplies (snacks, beverages, coffee, utensils)
  • Monitor inventory and place orders for kitchen and office supplies, as needed
  • Keep common areas (kitchen, conference rooms, reception) tidy and well-maintained
  • Support day-to-day office operations and facilities management, including interactions with the property manager and vendors, as needed
  • Work cross-functionally with IT, Executive Assistants and HR on special projects
  • Attend weekly Operations meeting

Mail & Package Management

  • Receive, sort, and distribute incoming mail and packages
  • Coordinate outgoing shipments (FedEx, UPS, etc.)
  • Track and notify employees of deliveries

Administrative Support

  • Assist with conference room setup and basic office coordination
  • Provide ad hoc support to the Executive Administrator team, as needed

Qualifications

  • 3+ years of experience in a receptionist, office assistant, or customer-facing role preferred
  • Strong communication and interpersonal skills
  • Highly organized with attention to detail
  • Reliable and dependable with a strong sense of ownership
  • Comfortable multitasking in a fast-paced environment
  • Proficient with basic Microsoft office tools (email, calendar, etc.)

Compensation

The salary range for this position is $76,000-$95,000 and the position may be eligible for performance-based bonuses and/or equity-linked compensation.  Salary ranges are determined by role, level, and location, as well as additional factors such as job-related skills, experience, and relevant education or training. We offer Company-sponsored benefits, including comprehensive health, dental, and vision plans, as well as pet insurance.
