Job Summary:

FluidAI is looking for a motivated and detail-oriented Accounting & Finance Associate to join our growing team. This is a unique opportunity to be a foundational member of our finance function at an exciting medical technology company where your work will directly support the mission of saving lives.

In this role, you will own a broad range of finance and accounting activities from supporting our bookkeeping function and managing accounts payable/receivable, to managerial accounting, government funding claims, and working with our external accounting firm at year-end. You will also play a key role in setting up and maintaining GL structures across business units, helping leaders track and stick to their budgets, and ensuring our financial operations run smoothly as we scale.

Job Responsibilities:

Accounting & Compliance

  • Support bookkeeping activities, including transaction recording and reconciliations.
  • Own the month-end close process, ensuring al entries are complete, accurate, and delivered on time.
  • Prepare periodic internal financial statements and maintain accurate, up-to-date financial records.
  • Manage accounting for inventory, including raw materials, work-in-progress (WIP), and finished goods.
  • Track and maintain the company's asset register.
  • Collaborate with our external accounting firm to prepare and submit year-end tax filings.
  • Prepare and submit non-dilutive funding claims (e.g., government grants, SR&ED), ensuring accuracy and timeliness.
  • Support external audits, preparing documentation and responding to inquiries in a timely manner.
  • Prepare internal monthly financial reports for leadership and support the preparation of quarterly financial reporting for investors.

Managerial Accounting & Budgeting

  • Set up and maintain general ledgers (GLs) for different teams and business units across the company.
  • Track and display live spend by department, giving leaders real-time visibility into their financial position.
  • Support the annual budgeting process and conduct quarterly budget reviews with team leaders.
  • Partner with department heads to keep spending on track and hold the organization accountable to its financial plan.

Payments, Procurement & Invoicing

  • Process vendor payments and set up beneficiaries in our banking and accounting systems.
  • Create and issue purchase orders (POs) to vendors in a timely and organized manner.
  • Generate customer invoices and proactively follow up to ensure timely collection of payments.
  • Maintain organized records for all payables and receivables.

Qualifications:

  • 1–3 years of experience in an accounting, finance, or bookkeeping role.
  • Degree or diploma in Accounting, Finance, Business Administration, Commerce, or a related field. Candidates from CPA, CMA, or equivalent professional programs are also welcome.
  • Proficiency in QuickBooks Online for day-to-day accounting tasks.
  • Experience in a company that operates across both hardware/manufacturing and software (SaaS). Comfortable navigating the financial complexities that come with physical product costs, inventory, and a recurring revenue model side by side.
  • Strong command of Microsoft Excel for financial modeling, reporting, and data analysis.
  • Solid understanding of core accounting principles (GAAP), financial statements, and GL management.
  • Experience or familiarity with accounts payable/receivable workflows, PO creation, and vendor management.
  • Excellent attention to detail and a high degree of accuracy in financial record-keeping.
  • Strong communication skills, able to work cross-functionally and present financial information clearly to non-finance stakeholders.
  • Self-starter mentality; someone who takes ownership, works independently, and brings energy to their work every day.

Bonus Qualifications:

  • Currently enrolled in or eligible to pursue the CPA designation.
  • Experience with SR&ED (Scientific Research & Experimental Development) claims or other non-dilutive government funding programs.
  • Familiarity with Airtable or similar tools for data tracking and operational reporting.
  • Experience working in a startup or high-growth environment where processes are still being built.
  • Exposure to managerial or cost accounting within a product or technology company.

Transparency & Hiring Practices:

  • Compensation: The salary range for this position is $75,000 – $90,000 per year, commensurate with experience and qualifications.
