Recruiting Coordinator

Gersh Autism is seeking an experienced Recruiting Coordinator to support the Talent Acquisition team by managing the coordination, tracking, and administrative components of the hiring and onboarding process. This role plays a key part in maintaining an organized, efficient hiring process while delivering a positive and consistent candidate experience.


This position requires prior experience as a Recruiting Coordinator in a fast-paced environment. The ideal candidate is highly detail oriented, comfortable working in Excel, proactive in solving issues, and able to shift priorities as hiring needs change.


Key Responsibilities

Recruitment Coordination

  • Schedule and coordinate interviews across recruiters, hiring managers, and candidates
  • Send interview confirmations, calendar invites, meeting links, and reminders
  • Review resumes and assist with prescreening candidates when needed
  • Maintain consistent communication and follow-up with candidates throughout the interview process
  • Support recruiters with candidate movement from application through offer stage

Onboarding & Compliance

  • Support the onboarding process from offer acceptance through start date, with a strong focus on candidate experience
  • Coordinate pre-employment steps including background checks and required documentation
  • Manage and track the I-9 process to ensure accuracy and compliance
  • Serve as a point of contact for candidates regarding onboarding steps and timelines

Tracking, Reporting & Data Management

  • Maintain detailed Excel tracking spreadsheets for candidates, interviews, offers, and start dates
  • Create and update recruiting and onboarding reports as needed
  • Ensure candidate records are accurate and up to date in the applicant tracking system (ATS)
  • Monitor pipelines and proactively flag delays, missing information, or process issues

Process & Team Support

  • Assist with job postings, candidate outreach, and scheduling support as needed
  • Identify opportunities to improve coordination, tracking, and overall hiring workflows
  • Support ad-hoc Talent Acquisition projects and reporting requests
  • Adapt quickly to shifting priorities and changing hiring demands


Qualifications

Required

  • Experience as a Recruiting Coordinator in a fast-paced environment
  • 1–3+ years of experience supporting talent acquisition or recruiting teams
  • Strong Excel skills, including maintaining spreadsheets, tracking data, and creating reports
  • Experience using an applicant tracking system (ATS) (experience with Rippling a plus!)
  • Ability to manage multiple priorities and adjust quickly as needs change
  • Strong attention to detail and follow-through
  • Clear, professional written and verbal communication skills

Preferred

  • Experience supporting onboarding and compliance processes
  • Experience handling I-9 documentation
  • Experience supporting high-volume or multi-site hiring

Compensation includes base of $55,000 plus KRA bonus eligibility
