We are looking for a reliable, organized Office Manager with experience to oversee day-to-day office operations, coordinate administrative procedures, and maintain a productive, positive work environment. This role serves as the central point of contact for staff, vendors, and visitors, ensuring that systems, facilities, and communications run seamlessly. This is 100% in person in our Richmond, BC Office.

Key Responsibilities

Office Operations & Administration

• Manage daily workflows: Oversee general office activities, reception areas, incoming/outgoing correspondence. 

• Maintain supplies & equipment: Monitor inventory, order office supplies, and schedule maintenance or repairs for office hardware and appliances.

• Implement procedures: Evaluate, update, and enforce office policies, filing systems, and administrative workflows.

· Plan, co-ordinate and execute special event planning and management

Facilities & Vendor Management

• Manage facilities: Oversee office space layout, workstation changes, health and safety compliance, and building maintenance.

• Coordinate vendors: Sourced and maintain relationships with external service providers, contractors, and building management.

Executive Support

• Provide administrative assistance: Support leadership with calendar scheduling, meeting coordination, travel arrangements, and report preparation and event co-ordination

·       Basic payroll or bookkeeping records as needed.

Required Skills & Qualifications

• Experience: 2 years of experience in office management

• Software proficiency: Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook), Quickbooks, familiarity with basic office/project tools.

• Organizational skills: Exceptional multi-tasking, time-management, and problem-solving abilities in a fast-paced environment.

• Communication: Clear verbal and written communication skills with a personable, service-oriented attitude.

• Availability: 100% on-site presence required during core business hours, with the reliability to handle workplace emergencies if they arise. Flexibility to change availability as per the needs of the business.  Regular Office hours are Monday – Friday 10am-6pm

• Chaos Management: Exceptional multi-tasking skills, with the ability to handle shifting operational priorities on the fly.

• Resourcefulness: A proactive problem-solver

• Communication: High energy, warmth, and excellent interpersonal and communication skills

· Must have own vehicle and Class 5 license

·   Canadian experience as an Office Manager is an asset

Salary- $42000 to 45000 per year paid bi-monthly.
