Since 1986, MAPS has led the psychedelic movement with evidence-based approaches to changing policies, advancing research, and shaping culture. MAPS’ flagship project — seeding the effort to make MDMA into a medicine for PTSD — has birthed a new field that won’t give up until its goal has been achieved. How You Can Help

  • This role is for our Finance & Grants Administrator. You will strengthen MAPS’ financial operations by maintaining accurate day-to-day accounting records and supporting compliant, timely grant administration.
  • You will help ensure leaders have clear financial information for decision-making, that AP/AR is administered efficiently, and staff can rely on consistent, well-documented finance processes.
  • You will add to MAPS' rich company culture by sharing MAPS’ vision to develop medical, legal, and cultural contexts for people to benefit from the careful uses of psychedelics and marijuana.

Primary Roles and Responsibilities

  • Maintain accurate bookkeeping records for a nonprofit organization and handle AP, AR, reimbursements, expense report management, and routine reconciliations.
  • Maintain clean financial systems and records, including vendor files, grant files, receipts, contracts, invoices, payroll-related documentation, and other compliance materials.
  • Code revenue and expense transactions to ensure accurate financial records and reporting.
  • Support monthly and year-end close processes by preparing documentation, reconciling accounts, organizing backup materials, and helping ensure financial records are audit-ready.
  • Prepare and support financial reports, ensuring reports are timely and accurate.
  • Support grant administration from pre-award through closeout, including communicating with prospective grantees, reviewing applications, obtaining required compliance documentation, tracking reporting deadlines, reviewing reports, and ensuring grantee compliance.
  • Coordinate with program, development, and operations teams to gather grant-related financial information, clarify budget needs, and support responsible stewardship of restricted and unrestricted funds.
  • Help improve finance and grants administration workflows by documenting processes, identifying gaps, and recommending practical improvements that reduce errors and increase transparency.
  • Support compliance with nonprofit accounting standards, internal controls, grant requirements, organizational policies, and applicable federal, state, and local regulations.

Success in this role looks like

  • Financial records are accurate, current, and easy to review.
  • AP and AR are handled accurately in a timely fashion
  • Contribute to monthly close, reconciliations, and reporting processes that happen on a predictable schedule.
  • Stakeholders receive complete and accurate financial reports on time.
  • Program and development teams understand what information is needed for grant compliance.
  • Successful collaboration with finance leadership and outsourced accounting partners.
  • Finance workflows become clearer, more consistent, and less dependent on individual memory.

More About You (Qualifications)

  • Experience with nonprofit bookkeeping, accounting operations, or financial administration. Specifically, we are looking for experience with Sage Intacct, BILL AP/AR, Bill Spend & Expense, and internal/project management tools like Notion and Slack. If you have this experience - please make sure it is visible on your resume.
  • Experience with grant reporting and funder compliance is strongly preferred; including experience with federal, state, foundation and restricted grant reporting.
  • Experience with non-profit audits, Form 990 preparation, and fiscal year-end close.
  • Understanding of nonprofit-specific accounting concepts, including fund-based accounting, grant budgets, expense coding, and audit documentation.
  • Understanding of double-entry bookkeeping, debits, credits, and basic cash or accrual accounting methods.
  • Experience and competency working with accounting systems, spreadsheets, shared files, and financial documentation.
  • Experience working with outsourced accounting partners, auditors, payroll providers and/or finance consultants is preferred.
  • Strong organizational skills and ability to manage recurring deadlines.
  • Strong attention to detail.
  • Clear written and verbal communication skills.
  • Ability to handle confidential financial and personnel information with discretion.
  • Commitment to accuracy, accountability, and collaborative problem-solving.

Compensation, Location & Hours

  • Full-time, Salaried, Exempt position: $65k-80k
  • Location: Remote, but must be located within the United States.
  • You are required to have a suitable workspace with secure internet and reliable phone reception.
  • Applicants must be available during standard business hours (9:00 AM - 5:00 PM your local time, Monday through Friday). The exact schedule may be arranged upon hire.
