Overview

The Patient Care Coordinator helps shape the patient experience from the very first phone call through ongoing care. This role directly supports patient retention, schedule productivity, treatment continuity, office flow, and overall patient confidence in the practice.

Success in this role requires a warm and welcoming presence, strong communication skills, initiative, emotional intelligence, organization, attention to detail, operational awareness, and consistent follow-through. Most importantly, this role is about making patients feel heard, cared for, and confident in the care they receive.

Role Scope

  • Serve as a trusted patient advocate and welcoming first point of contact for the practice
  • Create a warm, professional, organized, and positive patient experience from the initial interaction through ongoing care
  • Support productive scheduling, efficient office operations, and patient retention efforts
  • Build strong, respectful communication with patients, dentists, hygienists, assistants, and office leadership
  • Help ensure front office systems, scheduling processes, and patient communications are accurate, timely, and efficient
  • Support practice goals related to patient satisfaction, operational performance, and long-term patient relationships
  • Contribute to a positive, professional, collaborative, and solution-oriented office culture

Key Responsibilities

  • Serve as the welcoming face and voice of the practice, both in person and over the phone
  • Answer incoming calls with warmth, professionalism, and efficiency
  • Greet patients in a friendly and genuine manner and help them feel comfortable from the moment they arrive
  • Help patients feel informed, supported, and cared for throughout their visit and ongoing treatment
  • Listen to patient questions and concerns with patience and empathy, working toward thoughtful and appropriate solutions
  • Follow the established new patient process to create a smooth, organized, and welcoming experience
  • Help maintain a clean, comfortable, inviting, and well-stocked patient lobby
  • Manage patient communication, including follow-up, referrals, reactivation, and thank-you correspondence
  • Maintain a calm, professional, and caring approach during busy, stressful, or high-volume periods
  • Build positive relationships with patients that encourage trust, continuity of care, and long-term loyalty to the practice

Operational Responsibilities

  • Help oversee the daily flow of the office, with attention to schedule productivity, patient wait times, and overall patient experience
  • Maintain full and productive schedules while proactively identifying and minimizing gaps
  • Prepare daily schedules with accurate patient information, data entry, insurance verification, and appointment confirmations
  • Communicate regularly with the insurance verification team to help ensure information is accurate and completed in a timely manner
  • Collect and accurately document all required patient information at check-in, including patient photos and necessary documentation
  • Collect patient balances accurately and respectfully in accordance with office policies and guidance from the Office Manager
  • Ensure all required consent forms are reviewed and signed for applicable procedures
  • Maintain accurate, complete, and up-to-date patient records and documentation
  • Review the daily schedule during Morning Huddle and communicate important patient information to the appropriate team members
  • Monitor patient reporting systems and proactively help keep patients on track with recommended and due appointments
  • Complete daily, weekly, and monthly operational checklists consistently and thoroughly
  • Communicate proactively with the clinical and leadership teams to help prevent issues and keep the day running smoothly
  • Follow all OSHA, HIPAA, company, and applicable regulatory requirements to protect our patients, team, and practice
