Position Summary

The People & Talent Associate is a key member of the People Operations team, supporting the full employee lifecycle with a primary focus on document management, leave of absence (LOA) administration, new hire onboarding, and workforce support. This role serves as a trusted resource to employees and leaders, ensuring HR programs run smoothly, compliantly, and with a high level of service. The People & Talent Associate works closely with the People Operations Manager to deliver an exceptional employee experience from Day 1 through every stage of the employee journey.

This is a hybrid position based out of our Salt Lake City office, with an expected in-office presence of approximately two (2) days per week. The hybrid schedule is intentionally flexible and may shift up or down depending on onboarding volume, project demands, and other current responsibilities.

Key Responsibilities

Onboarding & New Hire Orientation

  • Own and facilitate all W2 Day 1 new hire orientations for both exempt and non-exempt employees, ensuring a consistent, welcoming, and compliant onboarding experience.
  • Coordinate end-to-end onboarding logistics including scheduling, communications, system access, and orientation materials in partnership with IT, Payroll, Benefits, and hiring managers.
  • Process and verify Form I-9 documentation, E-Verify submissions, and other required new hire paperwork in accordance with federal and state regulations.
  • Maintain and continuously improve onboarding content, presentations, and Day 1 checklists to reflect current policies, benefits, and company culture.
  • Track new hire completion of onboarding tasks and follow up to ensure timely completion of required documentation and training.

Leave of Absence (LOA) Administration

  • Serve as the primary point of contact for all employee leave inquiries, providing knowledgeable guidance on FMLA, ADA accommodations, parental leave, short-term disability, personal leave, military leave, and state-specific leave programs.
  • Administer the end-to-end leave process including eligibility review, documentation, approvals, employee communications, return-to-work coordination, and recertifications.
  • Partner with third-party leave administrators, payroll, and benefits vendors to ensure accurate leave tracking, pay continuation, and benefits coordination.
  • Track and audit leave activity to ensure proper usage, accurate records, and compliance with federal, state, and local leave laws.
  • Proactively educate managers and employees on leave policies, processes, and responsibilities to support consistent application across the organization.

Workforce & Employee Support

  • Provide day-to-day workforce support by responding to employee inquiries related to policies, benefits, leave, HRIS, and general People Operations questions.
  • Assist with employee relations matters under the direction of the People Operations Manager, including documentation, follow-up, and escalation as appropriate.
  • Support workforce planning activities such as headcount tracking, organizational updates, employee status changes, and reporting.
  • Partner with managers on lifecycle events including transfers, promotions, leaves, returns from leave, and separations to ensure a smooth employee experience.
  • Champion a positive employee experience by delivering responsive, empathetic, and solutions-oriented support.

HR Document & Records Management

  • Manage HR documents and maintain organized, accurate, and confidential employee files, electronic records, and filing systems.
  • Audit HRIS and ATS data regularly to ensure data integrity, accurate reporting, and compliance with retention requirements.
  • Prepare employee letters, verifications of employment, and other documentation as requested.
  • Maintain document templates and standard operating procedures (SOPs) for People Operations workflows.

HRIS & ATS Administration

  • Utilize HRIS systems for data entry, employee record management, reporting, and workflow administration.
  • Leverage Applicant Tracking System (ATS) experience to support new hire data flow, integrations with onboarding, and clean handoffs from offer acceptance into Day 1.
  • Generate reports and dashboards as needed to support leadership decision-making, audits, and compliance reviews.
  • Identify and recommend opportunities to streamline and automate manual processes within HR systems.

Benefits & Policy Guidance

  • Provide working knowledge of core employee benefits programs to answer inquiries and guide associates to the appropriate resources.
  • Support annual open enrollment, qualifying life events, and ongoing benefits communications in partnership with the People Operations Manager and benefits vendors.
  • Reinforce and consistently apply company policies and procedures while flagging opportunities for clarification or improvement.

Engagement, Recognition & Communications

  • Contribute to employee engagement and recognition initiatives, helping to plan, coordinate, and execute programs that strengthen culture.
  • Develop and contribute content for the monthly employee newsletter, including announcements, milestones, and People Operations updates.
  • Support internal communications related to policy changes, benefits updates, and key People Operations initiatives.

Compliance & Continuous Improvement

  • Ensure People Operations practices remain compliant with applicable federal, state, and local employment laws.
  • Participate in audits, compliance reviews, and process documentation efforts.
  • Perform additional duties as assigned by the People Operations Manager.

Required Qualifications

  • 2+ years of progressive HR / People Operations experience, ideally in a fast-paced or multi-state environment.
  • Demonstrated experience administering leave of absence programs (FMLA, ADA, state leaves, parental, STD, etc.) with strong knowledge of applicable regulations.
  • Hands-on experience with an Applicant Tracking System (ATS) and an HRIS platform; comfort navigating, configuring workflows, and pulling reports.
  • Experience facilitating new hire orientations for both exempt and non-exempt populations.
  • Strong working knowledge of Form I-9 / E-Verify requirements and onboarding compliance.
  • Excellent organizational skills with the ability to manage multiple priorities, deadlines, and confidential information.
  • Strong written and verbal communication skills with a service-oriented mindset.
  • Proficiency in Google Suite (Gmail, Google Doc, Google Sheets, Google Slides) and modern collaboration tools.
  • Ability to work a hybrid schedule from the Salt Lake City, UT office (approximately 2 days per week on-site, flexible based on business needs).

Preferred Qualifications

  • Bachelor’s degree in Human Resources, Business, Organizational Development, or a related field; equivalent experience considered.
  • PHR, SHRM-CP, or similar HR certification.
  • Experience supporting a workforce that includes both corporate and contact center / operational employees.
  • Familiarity with multi-state leave and employment law nuances.
  • Experience supporting employee engagement, recognition, and internal communications programs.

Work Environment

This is a hybrid role based in Salt Lake City, Utah. The expected schedule is approximately two (2) days per week in the SLC office, with the remaining days worked remotely. The in-office cadence may shift up or down depending on current responsibilities, onboarding volume, and team needs. Reliable internet, a dedicated home workspace, and the ability to commute to the SLC office on scheduled in-office days are required.
