Executive Operations, CEO Office

Drug development shouldn’t be guesswork, not when patients are waiting.

Pathos is an AI and technology company that develops drugs. Foundry, our platform, decides which ones.

We are not a biotech that uses AI. We are redesigning drug development from first principles around an AI and technology core. Our Foundation Model reads across DNA, RNA, pathology, and clinical text on 200+ petabytes of Multimodal data. Our Foundry platform turns that model into live portfolio decisions: which asset to invest in, which trial design to pivot, which program to stop. In 2026, every major portfolio decision at Pathos was Foundry-informed, a Platform-Informed Decisions score of 4 out of 4.

The three engines of the platform are Scout (finds assets other companies would miss), Foundry (decides where capital and clinical attention go), and Sprint (executes trials with AI agents doing the work that used to require a full biotech). We call it a biotech company in a box.

We are well-capitalized. We have four clinical-stage oncology programs and a co-development partnership with a top-five pharma. Our leadership has nearly two decades of company-building experience and multiple successful exits behind them.

How We Build

Pathos does not operate like a traditional biotech. There is no middle management. There are no layers of approval. Every function, Clinical, Legal, Finance, Regulatory, Engineering, Research, is built the same way: small teams of 3-5 subject matter experts, each commanding 30-50 AI agents to do the work that used to require dozens of people.

Everyone builds. Everyone ships. Product velocity is measured in hours, not weeks. A team of 40-50 operators does the work of a traditional biotech of 300. Every dollar saved on overhead is a dollar deployed into a clinical program.

The people who thrive here are operators: deep experts who can specify what needs to happen, orchestrate AI agents to execute at scale, and make high-judgment calls that compound over time. If you have spent your career building and shipping in your domain, this is the environment where that experience becomes a superpower.

About the Role

This role owns the foundational logistics of the CEO’s office—calendar management, travel, and daily operations. That is the baseline, and we do not pretend otherwise.

However, what separates this role from a traditional Executive Assistant position is the scope, the stakes, and the leverage. Pathos is a 50-person company with four clinical-stage oncology programs, a ~$3 billion valuation, co-development partnerships with top-five pharma companies, and an active Series E fundraise. The CEO’s week spans investor meetings, board sessions, pharma partner discussions, and clinical milestone reviews. You are the operational backbone that ensures nothing falls through the cracks.

At Pathos, the "Office of the CEO" functions as the operational hub for the entire executive leadership team. While your primary mandate is the CEO, you will actively support the broader C-suite on various high-leverage matters, ensuring the company’s senior leadership moves with total alignment and zero friction. You will own investor meeting preparation, board material production, congress logistics (ASCO, ESMO, ASH, JPM), pharma briefings, and the institutional memory of executive commitments. You will chase people down, follow up relentlessly, and anticipate needs before being asked.

To operate at this scale, this role runs on AI. You will use AI agents to assemble board packages, compile competitive intelligence, draft communications, and build congress schedules. AI handles the first pass; you bring the judgment and the relentless follow-through. One person equipped with AI agents can run an executive office that would traditionally require a small team—and that is exactly our expectation.

(Note: This role is distinct from, but works in close partnership with, the Chief of Staff. The Chief of Staff acts as the CEO’s strategic arm—running cross-functional projects and driving company-wide initiatives. You own the CEO’s operational rhythm—preparation, logistics, materials, and follow-through. You will work closely together to ensure the executive office is both strategically and operationally flawless.)

What You Will Do

Run the executive office

  • Operational Control: Own the CEO’s calendar, travel, and daily logistics. Manage scheduling across time zones and competing priorities with zero friction.
  • Executive Team Support: Serve as the central operational node for the broader executive leadership team, providing critical coordination and support for C-suite initiatives, offsites, and cross-functional leadership matters.
  • Relentless Follow-Through: Coordinate the leadership team’s meeting agendas and track cross-functional action items. When a task is assigned, you track it until it is executed.
  • Cross-Functional Triage: Act as the connective tissue between the executive office and every function (Clinical, BD, Legal, Engineering, Finance). Route, prioritize, and triage incoming requests for leadership's attention.
  • Absolute Discretion: Handle confidential information, including fundraising, personnel decisions, legal matters, and board-level strategy.
  • Office Operations: Manage expenses, vendor relationships, and the operational details that keep the executive office running smoothly.

Prepare leadership for high-stakes moments

  • Investor Relations: Own the Series E preparation workstream. Research investors, pull the latest portfolio data from Foundry, coordinate with Finance on materials, and build comprehensive briefing packages.
  • Board Production: Lead the logistical production of quarterly board meetings. Coordinate cross-functional materials, manage timelines, verify data accuracy, and anticipate director inquiries.
  • Pharma Partnerships: Prepare briefings for joint development committees (e.g., AstraZeneca), collaboration reviews (e.g., Alphamab), and new partnership discussions.
  • Congress Operations: Direct logistics for major oncology conferences (ASCO, ESMO, ASH, AACR, JPM). Build schedules, coordinate travel, identify high-priority sessions, and ensure optimal use of the leadership team's time on the ground.

Use AI to Multiply Your Impact

  • Workflow Automation: Deploy AI agents for meeting prep, document drafting, competitive intelligence, data compilation, and follow-up tracking.
  • Build Systems: Create repeatable AI workflows for recurring tasks (board packages, investor updates, congress prep) so quality improves and execution time shrinks every cycle.
  • Continuous Optimization: You do not need to be an AI expert on day one, but you must possess the instinct to look at a manual process and immediately find a way to automate it.

Own executive communications and materials

  • Drafting & Editing: Write clear, concise executive communications (i.e, investor updates, board memos, internal announcements, and partner correspondence) working closely with communications as necessary.
  • Recurring Deliverables: Manage the production of monthly investor updates, leadership meeting agendas, and company-wide memos.
  • Institutional Memory: Maintain a rigorous record of decisions made, commitments given, and action items assigned across the executive team. When the CEO needs to recall an agreement made with a partner six months ago, you have it instantly.

Who You Are

Minimum Qualifications

  • 2–5 years of professional experience in executive support, operations, or a fast-paced business environment (startup, high-growth tech, healthcare, or biotech).
  • Exceptional organizational architecture. You can manage dozens of parallel workstreams without dropping a single thread. You have a system, and it works.
  • Strong written communication. You can draft a clear, concise executive memo or announcement that sounds like it came from the CEO.
  • Relentless follow-through. You are "impossible to shake loose." If a deadline is approaching, you chase it. If something falls through the cracks, it is because someone else dropped it, not because you stopped watching.
  • Comfort operating at a high-intensity pace in a highly fluid, 50-person company building four clinical-stage assets.
  • Absolute trustworthiness with highly confidential information (non-negotiable).

Strongly Preferred

  • Experience supporting C-level executives (ideally a CEO or founder) at a high-growth or venture-backed company.
  • Contextual understanding of healthcare, biotech, life sciences, or drug development.
  • Experience with investor relations, board governance, fundraising logistics, or major conference coordination.
  • A genuine curiosity and willingness to adopt AI tools (ChatGPT, Claude, Copilot) as core workflow infrastructure.
  • A natural instinct for building repeatable systems and organizing chaos.

The Kind of Person Who Thrives Here

  • You are three steps ahead. You do not wait for instructions; you see what needs to happen and execute.
  • You treat the CEO’s priorities as your own. You are not just checking boxes; you are deeply invested in the outcome.
  • You have unyielding standards. The executive office reflects your operational rigor, and you take pride in running a flawless operation.

Why Pathos

  • Unprecedented Visibility: You will see exactly how a generational company scales from the inside—fundraising, board dynamics, pharma partnerships, clinical milestones, and high-level strategy.
  • Accelerated Learning: The complexity-to-headcount ratio here is unlike traditional biotech. You are operating at the center of a ~$3 billion company moving at unprecedented velocity.
  • Compounding Skillset: You will utilize AI tools daily to execute at a level most executive operations professionals have not yet experienced, building a skillset that will define the future of the function.
  • Expanding Scope: The best operators in this role expand their impact over time, evolving from managing the CEO’s office to becoming indispensable to the operational rhythm of the entire company.
