Data Entry Specialist

Position Overview


The Data Entry Specialist is responsible for supporting accurate communication of project specifics between the sales department and the operations department. The Data Entry Specialist is responsible for maintaining professional communication between departments and assisting with all relevant information needed to install a successful project. This is a highly meticulous role that verifies clerical and mathematical accuracy of projects sold. 


The Data Entry Specialist is primarily focused on the following objectives:


  • Enter project details into company programs / applications
  • Manage project documents and audit for completeness and compliance
  • Assist with project budget and commission calculations
  • Verify order accuracy - inclusive of all material specifications, total footage, gates, post and picket quantities, removals and haul away, specialty labor items, etc…


The Data Entry Specialist is responsible for reviewing each residential project for appropriate documentation, formatting, and required deposit. They also support processing and entry of commercial projects to a lesser degree of detail. The Data Entry Specialist inputs all project specifications into company software and assigns project next steps and necessary follow-up to the correct staff members within the company. The Data Entry Specialist is also committed to delivering the Peerless Promise with Quality, Service & Integrity.


Role and Responsibilities

  • Review new project files  
  • Act as liaison between sales staff and operations staff
  • Contact customers for payment information if needed
  • Calculate and input accurate budget and commission information for each project 
  • Verify CFS estimate details with contract documents
  • Review contract drawings to verify measurements against CFS estimate provided
  • Alert sales team of major errors that may require a change order to correct
  • Make corrections to small dollar value errors that can be easily corrected
  • Input customer work orders & change orders 
  • Complete other office support duties as assigned, such as collections calls, internal compliance audits, etc…

  • Strong math acumen
  • Previous experience with data entry
  • Maintain a professional demeanor at all times
  • Meticulousness, attention to detail and accuracy 
  • Excellent verbal and written communication skills
  • Ability to excel in a fast-paced environment
  • Self-motivated to achieve daily responsibilities
  • Expert problem solving and critical thinking skills
  • Proficient in baseline computer applications and functionality
    • Gmail/GSuite
    • CRM software
  • Ability to effectively prioritize tasks 


Objectives

  • Resolve customer concerns as related to contract documents and payments - 5%
  • Create, verify, and assign projects in Salesforce & ComputerEase – 30%
  • Compare CFS estimate, budget, and contract to ensure they match, and correct if not – 30%
  • Calculate budgets and commissions – 30%


Preferred Skills:

  • Previous experience with Salesforce
  • Previous experience in the construction industry
