Implementation and Scheduling Specialist

Implementation & Scheduling Specialist 

We are seeking a highly organized and detail-oriented Implementation & Scheduling Specialist to lead new program implementations, coordinate expansions of existing programs, and manage provider scheduling to support operational and contractual requirements across Precise. 

Reporting to the Vice President of Operations, this role serves as a critical link between clients, operations, clinical leadership, and providers. The successful candidate will coordinate implementation activities, maintain project timelines, facilitate client and internal meetings, and ensure appropriate provider coverage across multiple service lines. 

The ideal candidate thrives in a fast-paced environment, can manage numerous priorities simultaneously, communicates effectively with both internal and external stakeholders, and possesses a strong understanding of healthcare operations and provider scheduling. 

Key Responsibilities 

Program Implementation & Expansion 

  • Assist and lead operational implementation of new client programs and expansion of existing services.  
  • Assist with and maintain implementation plans, project timelines, milestones, and launch schedules.  
  • Coordinate implementation activities across Operations, Clinical, Credentialing, Technology, Recruiting, and Growth teams.  
  • Facilitate implementation meetings with clients and internal stakeholders.  
  • Maintain detailed project trackers and ensure timely completion of implementation deliverables.  
  • Assist VP of Operations and other functional teams to identify implementation risks and barriers, escalating concerns with recommended solutions.  
  • Support program launch activities and stabilization efforts following go-live.  
  • Create implementation status reports and provide regular updates to VP of Operations and other functional teams 

Scheduling & Coverage Management 

  •  Manage provider scheduling and coverage across multiple programs and service lines.  
  • Ensure staffing schedules meet client contractual obligations, service level requirements, and operational expectations.  
  • Monitor provider availability, capacity, and coverage gaps and proactively develop solutions. 
  • Coordinate provider schedules for:  
    • Outpatient programs 
    • Skilled Nursing Facilities  
    • Inpatient Behavioral Health Units 
    • 24/7 On-Demand Programs 
    • Inpatient Call Coverage 
    • Correctional Health Programs 
  • Maintain scheduling accuracy and ensure timely communication of schedule changes.  

Reporting & Operational Analytics  

  • Utilize Excel and other reporting tools to maintain implementation trackers, scheduling reports, and operational dashboards.  
  • Prepare weekly and monthly reports for leadership regarding:  
    • Implementation progress 
    • Launch readiness 
    • Coverage metrics 
    • Open staffing needs 
    • Scheduling risks 
  • Assist with and analyze scheduling trends and identify opportunities to improve staffing efficiency and coverage reliability.  
  • Maintain accurate records and documentation related to implementations and scheduling activities 

Client & Internal Coordination  

  • Serve as a primary operational point of contact during implementation projects between sales and operations and IT department.  
  • Coordinate recurring implementation and operational meetings with clients and internal stakeholders.  
  • Prepare agendas, document action items, and ensure follow-through on commitments.  
  • Build strong working relationships with client contacts and cross-functional internal teams.  
  • Ensure clients receive timely communication regarding implementation progress and scheduling updates 

Cross-Functional Execution 

  • Act as the connective point between Los Angeles clients, local operations, and centralized company teams. 
  • Coordinate effectively across Clinical, Operations, Product, Technology, Customer Success, and other functions. 
  • Translate company initiatives into practical execution at the regional and client level. 
  • Ensure information flows effectively between clients, frontline teams, and company leadership. 
  • Clarify ownership and drive follow-through when an operational issue spans multiple functions. 
  • Represent regional operational needs and perspectives in broader company planning and decision-making.

  • New programs launch on time and according to implementation plans.  
  • Existing programs expand seamlessly with minimal operational disruption.  
  • Provider schedules consistently meet client contractual and operational requirements.  
  • Coverage gaps are proactively identified and resolved.  
  • Leadership and clients receive accurate, timely implementation and scheduling updates.  
  • Operational risks are escalated early with actionable recommendations.  
  • Multiple implementations and scheduling priorities are managed effectively and simultaneously.  
  • Clients view Precise as a responsive and reliable operational partner 

 Qualifications 

  • Bachelor's degree preferred or equivalent work experience.  
  • 3+ years of experience in healthcare operations, implementation, provider scheduling, project coordination, or related fields.  
  • Experience managing provider scheduling in a healthcare environment strongly preferred. 
  • Understanding of staffing and coverage requirements across multiple care settings.  
  • Advanced proficiency in Microsoft teams, word, Excel, including data tracking, reporting, and analysis. 
  • Strong project management and organizational skills. Experience with use of project management software preferred. 
  • Exceptional attention to detail and ability to manage multiple priorities simultaneously. 
  • Excellent written and verbal communication skills.  
  • Ability to work independently and exercise sound judgment in a fast-paced environment.  
  • Strong problem-solving and resource-planning capabilities 

Experience in behavioral health, provider operations, health systems, hospitals, or technology-enabled healthcare services is strongly preferred.
