Research Coordinator

The Research Coordinator is a full-time role within the Research Operations department at the firm, helping to identify and connect with panelists, to recruit them as participants for Quadrant’s research panels. Our research panels engage policy elites nationally and abroad and incorporate them into the in-house market research we conduct for our clients. This role will coordinate the outreach, recruitment, communication, and scheduling with panelists. This is a terrific opportunity to gain exposure to operations, research, and recruitment functions at a rapidly growing firm in the market research industry.


RESPONSIBILITIES

  • Execute recruitment projects based on the client team requests for interviews, focus groups, and surveys
  • Proactively conduct online research to identify potential experts for our panels
  • Engage potential panelists by performing initial outreach through a personal LinkedIn account, over email, and phone calls
  • Communicate and interact with panel experts in an extremely timely manner
  • Work closely with other internal and external teams, such as consultants, management, and other operations team members
  • Maintain a database of recruitment outreach and other fieldwork information
  • Regularly update and report on recruitment projects’ status
  • Participate in updating and maintaining the team’s CRM platform
  • Report to a Manager of Qualitative Research and work with other Research Coordinators on a team
  • Assessment of feasibility and timeline of projects; a. This involves evaluating whether a proposed project is achievable within the given constraints, such as time, resources, and budget. It includes detailed planning, resource allocation, risk assessment, and timeline estimation to ensure the project can be completed successfully.
  • Recruitment of participants to participate in market research studies

a. This involves identifying, reaching out to, and enlisting individuals to participate in market research studies. It includes defining participant criteria, sourcing candidates, screening them for suitability, and managing their participation.

  • Maintaining and building vendor relationships with foreign language moderators and recruiters to help us run global research more efficiently.

a. This involves establishing and nurturing partnerships with vendors who provide foreign language moderation and recruitment services. It includes selecting vendors, coordinating project needs, and ensuring quality and efficiency in service delivery.


SAMPLE TASKS

  • Review internal databases and online platforms (LinkedIn, industry forums) to identify potential participants
  • Reach out to potential participants via email or phone to explain the study and benefits of participation
  • Conduct initial screening calls to assess candidate suitability based on predefined criteria
  • Participate in team meetings to discuss recruitment progress, share insights, and align on priorities
  • Update the research teams on recruitment progress, highlighting any challenges and proposed solutions
  • Schedule interviews or focus group sessions with confirmed participants, coordinating logistics
  • Update the recruitment database with the latest information on participants and their status
  • Prepare recruitment progress reports for internal review and research teams updates
  • Handle administrative tasks regarding incentivizing panelists for their participation in research


EXPECTATIONS

  • General market research & company knowledge. Research Coordinators should first and foremost get acquainted with the industry in which they operate and with Quadrant’s position. Understanding our unique selling points and the added value we bring to our clients is crucial as it in large dictates how we approach our work and how we measure our success. This includes:

a. Understanding the general market research landscape

b. Understanding the market research-specific terms/phrases

c. Familiarity with Quadrant’s market offerings, clients, and internal processes and procedures

d. Understanding the bigger picture and where Qual Ops fits in it Offices in Washington, D.C., New York City, London, and Belgrade

  • Mastering tools & software. Research Coordinators must master various tools to ensure they can run projects smoothly and efficiently. Depending on the team and primary type of projects they work on, they’ll become experts in some of these, but most likely not all. The tools we use include:

a. CRM

b. Project management: Monday.com

c. Productivity: Google Docs, Google Sheets, Word, Excel, Outlook

d. Communication: Zoom, Discuss.io, Slack

e. Recruitment: Decipher, LinkedIn Recruiter, Calendly

  • Interacting with the client teams. When working on projects, Research Coordinators will regularly communicate with various members of the client team, all to ensure the best possible participants for the client and the project. This includes:

a. Kick-off calls, at the beginning of the project

b. Regular progress updates throughout the project duration

c. Clear and concise communication when encountering obstacles

d. Debrief calls after the project if needed

  • Mastering internal processes. Research Coordinators will know the ins and outs of the typical qual recruitment project lifecycle, including:

a. Project kick-off calls

b. Utilizing CRM to filter through the panel

c. Recruiting, reviewing, screening, qualifying, and scheduling participants for focus groups and IDIs

d. Onboarding participants to the online meeting platform(s) we’re using for projects

e. Ensuring participants are ready for their consultations and have all necessary information before the engagement starting

f. Being at the disposal of the client teams at the beginning of the engagements to ensure a smooth start of the IDI/focus group

g. Processing incentive payments for the participants (including making sure they’re uploaded in a timely manner)


QUALIFICATIONS

  • Bachelor’s degree required, Master’s degree a plus
  • Full-time or internship experience in market research or recruitment with experience of successfully managing projects
  • Superior communication skills, including demonstrated oral, written and presentation abilities in a business-focused setting using a variety of communication channels (telephone, e-mail, in-person, etc.)
  • Experience with different cultures, either domestically or while studying/ working abroad
  • Effective relationship building and stakeholder management skills
  • Excellent skills in multi-tasking and managing priorities
  • Familiar with the following software a plus:

LinkedIn Recruiter for recruiting

Monday.com for project management

Decipher for programming online screeners

Outlook for email communication and calendar

Google Sheets for creating and maintaining project reports
