About the Role:
The role of the Specialist I, Biospecimen Operations-Specialty Products is to serve as a primary point of contact for our donors participating in specialty product collections. The Specialist I is responsible for screening and qualifying donors who are part of an extensive Sanguine database, and those who are identified by the donor Recruitment and Marketing Team. The Specialist will screen potential donors to obtain the necessary health information, conduct medical record reviews to qualify donors for specialty product collections research studies, and provide a seamless experience for our donors. The specialty product collections specialist is also responsible for collecting all necessary documents, coordinating with specialty product collections sites to schedule donors and pick up services, maintaining donor data and documenting results, fielding real-time calls and emails, and striving to provide a seamless experience for our donors. This individual will be a part of our specialty product collections Operations team and will work cross-functionally with multiple departments including Project Management, donor Operations, and specialty product collections site points-of-contact. This role will report to the specialty product collections manager and will be a part of a service-centric and analytics-driven team that believes in empathy, compassion, and centering our focus on the needs of our donors.
Primary Responsibilities:
● Serve as the primary point of contact for potential participants in specialty product collections research studies, managing inquiries from newly identified participants referred by the donor Recruitment team.
● Coordinate and oversee participant enrollment, ensuring a seamless and positive experience while maintaining compliance with study protocols and regulatory requirements.
● Act as a compassionate and knowledgeable liaison, embodying Sanguine’s mission to bridge the gap between researchers and donors to accelerate scientific discovery.
● Maintain an in-depth understanding of study protocols, safety guidelines, and Standard Operating Procedures (SOPs), ensuring strict adherence across all participant interactions.
● Conduct independent research on assigned studies and medical conditions to enhance comprehension of study-specific criteria.
● Utilize internal databases to identify potential study participants, analyzing medical record data and administering eligibility surveys.
● Conduct thorough eligibility screenings, introduce study objectives to participants, and collect and document critical medical and study-related information with accuracy and efficiency.
● Oversee the administration and collection of required study documents, collaborating crossfunctionally to initiate and manage medical record retrieval.
● Review and analyze medical records, input lab results, and compile research data to validate participant eligibility and ensure study integrity.
● Partner with the Medical Director to relay key safety considerations to participants with specific conditions.
● Collaborate with Project Management and Recruitment teams to track enrollment progress, proactively addressing potential delays or challenges.
● Maintain a strategic understanding of the participant database, identifying and mitigating bottlenecks to optimize study progress.
● Monitor and assess recruitment performance, escalating issues when necessary and working cross-functionally to implement solutions.
● Oversee participant allocation across multiple specialty product collections studies, ensuring alignment with eligibility criteria and study priorities.
Scheduling & Logistics Coordination Responsibilities
● Understand the requirements, capabilities, and scheduling restrictions of each specialty product collections donation site prior to scheduling donors
● Maintain a thorough understanding of the study protocol, safety guidelines, and ensure compliance with Standard Operating Procedures (SOPs).
● Ensure accurate completion and organization of required documentation for specialty product collections appointments, including but not limited to specialty product collections order forms, shipping labels, and informed consent forms.
● Manage shipments of specialty product collection visits between partner sites and sample destinations. This includes arranging pick up times, delivery destinations, and adhering to Sanguine’s Standard Operating Procedures (SOPs) for scheduling shipments.
● Initiate outbound phone calls; schedule appointments, confirm visit times, or reschedule visits as needed and notify both the specialty product collections site contacts and the appropriate internal team members as necessary.
● Maintain communication between partner site staff and internal sanguine staff, fielding inquiries between internal and external parties.
● Schedule donors based on numerous factors such as site staff availability, client availability, logistics constraints, and sample management constraints while providing donors with proper pre-appointment instructions and information
● Input and maintain all scheduling information in various platforms to ensure all scheduling information is always up to date
● Create and utilize various Salesforce reports to maintain efficiency and organization of donor scheduling
Visit Oversight Responsibilities
● Review the weekly and daily schedules and communicate with the specialty product collections site staff to ensure all parties are prepared for collections
● Maintain open communication channels with specialty product collections site staff about any participant special accommodations or study-specific requirement needs.
● Document and communicate each donor’s needs and condition to aid in specialty product collections site support needs day of procedure
● Work with the Medical Directors and partner site staff to understand any prompts to communicate to donors which express safety precautions for donors with specific conditions
● Ensure that post visit results are documented in various appropriate platforms. This includes but is not limited to screening results, collection results, donor recollection status, and specific lab values such as HLA typing results.
Position Requirements:
Required
● Bachelor's Degree in a life science or other related field.
● 1-2 years of working experience in a project management/operations coordinator role.

● Proficient in general software tools, including Microsoft Office and Google Workspace, with the ability to quickly learn and troubleshoot new systems

● Personable, engaging, and adept at critical thinking.
Preferred
● Bilingual (Spanish)
● Experience working with a blood donation center.
● Experience working in specialty product collections collections.
● Experience working with donors in a HIPAA regulated environment.
● Experience with software tools like Five9, DocuSign, Adobe Sign, Salesforce, Slack.
Technology Experiences
● General computer skills are required.
● Experience working with Salesforce.com.
● Experience working with general software tools; Microsoft Office, Google Workspace.
Compensation: 23.00 Hourly; Bonus Eligible
