Job Description

The Benefits Specialist is responsible for the day-to-day administration and execution of the company's employee benefits programs, including health insurance, 401(k) retirement plans, paid time off (PTO), employee benefits policies, vendor management, and compliance with applicable benefits laws and regulations. This role ensures the effective operation of the company's benefits programs, delivers high-quality employee support, and contributes to improved employee satisfaction and retention.


Job Responsibilities

1.Benefits Administration

  • Administer and maintain the company's employee benefits programs on a daily basis.
  • Process benefits enrollment, termination, and changes for new hires, departing employees, and employee status changes.
  • Manage employee benefit programs, including medical, dental, vision, life insurance, and disability insurance.
  • Assist with the administration of the company's 401(k) retirement plan and respond to employee inquiries.
  • Administer COBRA, FMLA, leave of absence (LOA), and other benefits-related programs as required.

2. Benefits Program Administration

  • Assist with the annual Open Enrollment process.
  • Prepare benefits communication materials and employee education resources.
  • Support updates to benefits policies and assist in promoting employee benefits programs.
  • Respond to employee inquiries regarding benefits and provide professional guidance.

3. Vendor Management

  • Serve as the primary point of contact for insurance carriers and third-party benefits vendors.
  • Assist in managing the performance of benefits providers and vendors.
  • Resolve insurance claims, eligibility issues, and benefits-related disputes.
  • Conduct periodic reviews of benefits programs to evaluate cost-effectiveness and overall program performance.

4. Benefits Compliance

  • Ensure employee benefits programs comply with applicable federal, state, and local laws and regulations.
  • Support compliance with ACA, ERISA, COBRA, HIPAA, and other applicable benefits regulations.
  • Assist with benefits-related audits and required government filings.
  • Maintain accurate benefits documentation and employee records.

5. Employee Support

  • Provide guidance and consultation on employee benefits policies and programs.
  • Assist employees in resolving benefits-related questions and issues.
  • Support employee retirement, leave of absence, and benefits change processes.
  • Promote employee awareness, participation, and satisfaction with company benefits programs.

6. Other Duties

  • Collaborate with other departments on cross-functional projects and initiatives as needed.
  • Perform other duties and special projects as assigned by management.


Basic Qualifications

Education

  • Associate's degree required; a degree in Human Resources Management, Business Administration, or a related field is preferred.

Experience

  • 1+ years of experience in Benefit administration.
  • Experience with U.S. employee benefits programs is preferred.
  • Previous experience in the retail industry or a multi-state organization is a plus.

Knowledge & Skills

  • Working knowledge of U.S. employee benefits programs and regulations, including:
    • Medical, Dental, and Vision Insurance
    • 401(k) Retirement Plans
    • COBRA
    • Affordable Care Act (ACA)
    • HIPAA
    • ERISA
    • Leave Administration (e.g., FMLA, LOA)
  • Proficiency with HRIS platforms such as Rippling, Workday, ADP, UKG, or similar systems.
  • Strong proficiency in Microsoft Excel, Word, and report analysis.

Pay and Compensation

  • $28 Per Hour + Quarterly Performance Bonus
