The Cosmetic Concierge serves as the primary point of contact for cosmetic patients, providing a high-touch, personalized experience from the initial inquiry through treatment follow-up. This role combines exceptional customer service, relationship management, scheduling coordination, and cosmetic service knowledge to ensure each patient feels informed, valued, and supported throughout their experience.


Key Responsibilities

  • Serve as a dedicated concierge for cosmetic patients, creating a warm, personalized, and elevated patient experience.
  • Respond to cosmetic inquiries via phone, email, text, and other communication channels in a timely and professional manner.
  • Educate patients on available cosmetic services, providers, treatment options, preparation, and expectations while staying within appropriate scope.
  • Coordinate consultations, treatments, follow-up appointments, and other patient services.
  • Build strong relationships with new and existing cosmetic patients to encourage continuity of care.
  • Follow up with prospective patients who have expressed interest in cosmetic services.
  • Assist patients with treatment scheduling, rescheduling, cancellations, and appointment questions.
  • Coordinate closely with providers, medical assistants, front-desk teams, and practice leadership to ensure a seamless patient journey.
  • Maintain accurate patient and appointment information within the practice management/EHR system.
  • Identify opportunities to improve the patient experience and communicate recurring concerns or trends to leadership.
  • Support cosmetic promotions, events, campaigns, and patient outreach initiatives.
  • Maintain a strong understanding of the practice's cosmetic services, providers, products, and patient experience standards.
  • Handle sensitive patient interactions with professionalism, discretion, empathy, and confidentiality.
  • Assist with patient retention and service follow-up while maintaining a relationship-focused approach rather than a high-pressure sales approach.
  • Support the practice in achieving patient experience, scheduling, retention, and cosmetic service goals.

  • Strong attention to detail and ability to manage multiple priorities.
  • Experience in dermatology, aesthetics, plastic surgery, luxury hospitality, medical concierge services, or a similar patient-facing environment preferred.
  • Comfortable discussing cosmetic services and helping patients navigate their options.
  • Proficiency with EHR/practice management systems and standard office technology.
  • Ability to work independently while collaborating effectively with providers and practice leadership.

Success in this position is measured by the quality of the patient experience, responsiveness to cosmetic inquiries, appointment conversion and retention, patient satisfaction, follow-up consistency, and the ability to create a seamless and personalized cosmetic journey.
