About the Role
Aalo is seeking a Document Control & Records Manager to lead day-to-day document control, records management, and technical documentation processes across the organization. This individual will serve as the primary owner of Aalo’s NQA-1 controlled document and records programs, ensuring documentation is created, reviewed, approved, maintained, and archived in accordance with company procedures and applicable standards.
The role is responsible for maintaining the integrity of Aalo’s document management system, supporting technical and customer documentation needs, and building scalable processes, standards, and templates that enable high-quality documentation across teams. The ideal candidate will bring strong experience in document lifecycle management, records compliance, technical editing, and cross-functional coordination in a regulated and highly controlled environment.
This position works closely with quality, engineering, licensing, manufacturing, operations, and customer teams to ensure controlled documents and records are accurate, consistent, retrievable, and audit-ready.
Key Responsibilities
Document Control & Records Management
Lead day-to-day management of controlled documents and quality records within the document management system.
Track, review, route, and process documents for approval, revision, release, retention, and archival in accordance with company procedures and applicable standards.
Coordinate document numbering, formatting, naming conventions, and metadata to ensure consistency, traceability, and control across the system.
Maintain revision histories and ensure document changes, approvals, and status are accurately captured and controlled.
Ensure obsolete or superseded documents are removed from active use and archived in accordance with records retention requirements.
Own and maintain document control and records management programs under NQA-1 requirements.
Technical Writing & Editing
Provide technical writing and editing support for controlled documentation.
Review documents for clarity, completeness, consistency, grammar, formatting, and alignment with company standards.
Develop and maintain technical writing standards, templates, style guidance, and documentation best practices.
Partner with subject matter experts to translate complex technical information into clear, accurate, and usable documentation.
Drive consistency in document structure, language, and formatting across functions.
Cross-Functional Documentation Support
Work closely with internal teams and customer teams to ensure timely support for documentation needs, updates, and deliverables.
Serve as the primary point of contact for document-related questions, process guidance, and document management support.
Partner with various company organizations, including quality, licensing, manufacturing, engineering, and operations, to support document control and records needs across programs.
Provide training on technical document processes, systems, templates, and documentation best practices.
Compliance, Audits & Configuration Control
Support audits, inspections, and assessments by ensuring required documents and records are complete, accurate, controlled, and readily retrievable.
Support configuration control and change management processes by ensuring documentation changes are properly reviewed, tracked, and implemented.
Develop, maintain, and improve document control and records management procedures to support compliance and operational discipline.
Qualifications
Required Experience
Experience in document control, records management, and technical writing in a regulated or highly controlled environment.
Experience working with an EDMS.
Strong working knowledge of document lifecycle management, revision control, records retention, archival practices, and document management systems.
Experience developing, editing, formatting, and maintaining controlled documents.
Familiarity with audit support, inspections, compliance documentation, and configuration control processes.
Excellent written and verbal communication skills, with strong attention to detail and a high standard for document quality.
Ability to work cross-functionally with technical, quality, operational, and customer-facing teams.
Strong organizational skills and the ability to manage multiple priorities in a fast-moving environment.
Preferred Experience
Experience in nuclear, energy, aerospace, manufacturing, engineering, or another highly regulated industry.
Working knowledge of NQA-1 requirements and their application to document control and records management programs.
Experience serving as the owner of a document control or records management program.
Experience supporting customer documentation requirements and external document deliverables.
Proficiency with electronic document management systems and related business tools.
Experience working with Visual Vault.
