About the role

We're looking for a Chief of Staff to serve as the operational glue that holds our founding team together and keeps the company running at full speed. This is a unique, high-trust role that sits at the center of everything — working directly with all three cofounders and reporting to the CEO.


This is not a traditional Chief of Staff role with a narrow strategic mandate. At AGent, this person will roll up their sleeves across events, executive support, recruiting coordination, team culture, special projects, and more. You'll be the connective tissue between our leadership team and the rest of the company.

Responsibilities

Offsite & Company Event Planning

  • Own end-to-end planning and execution for all company events — from intimate executive gatherings to company-wide all-hands
  • Coordinate board meetings: logistics, scheduling, and pre-read preparation
  • Plan and execute executive team offsites, working sessions, and the annual all-hands meeting
  • Manage ad hoc team gatherings and culture moments as the company grows
  • Own full budget tracking and reconciliation for all events

Cofounder & Executive Support

  • Serve as a trusted right hand to all three cofounders — handling the variety of requests, priorities, and details that keep senior leadership operating at their highest level
  • No task is beneath you; no request is too ambiguous — you figure it out and follow through

Recruiting & Hiring Coordination

  • Screen inbound resumes against criteria defined by the hiring leader, reducing the volume that leadership needs to personally review
  • Conduct initial candidate phone screens and provide structured feedback before advancing anyone to formal interviews
  • Own scheduling, coordination, and communication throughout the interview process
  • Note: you will not be part of final hiring decisions — this is about making the process faster and smarter for our leaders, not replacing their judgment

Weekly Team Meeting Coordination

  • Collect agenda topics and content from leadership ahead of each weekly all-team meeting
  • Ensure every leader knows their topic, their slot, and what's expected
  • Bring creative ideas for making weekly meetings more engaging, energizing, and worth everyone's time
  • Help plan ad hoc team bonding moments and activities for a distributed team

Virtual Office Management

  • Own the operational fabric that makes remote work feel less remote — from tooling and systems to team communications and internal logistics
  • Handle the day-to-day odds and ends that keep our virtual office running smoothly

Culture & Team Development

  • Serve as a culture carrier for AGent — helping maintain the energy, trust, and cohesion of our founding team as we grow and bring new people in
  • Build and formalize internal development processes that give every team member clarity on how they're growing and where they stand, including:
    • Mid-year and end-of-year review cycles — design the structure, build the templates, own the timeline, and ensure every leader runs a consistent, meaningful process
    • Onboarding experiences that make new hires feel the culture from day one
    • Team recognition and engagement moments that keep a distributed team feeling connected and appreciated
  • Partner with the CEO and leadership team to identify early signals of culture drift as the company scales — and bring ideas for how to address them proactively
  • Help AGent grow without losing what makes it special

Special Projects

  • Take on cross-functional projects at the direction of the CEO and leadership team — rolling up your sleeves wherever the business needs it most
  • Examples of the kinds of projects this role will own or support:
    • Marketing campaigns — coordinating content, timelines, and cross-functional execution across the GTM team for product launches, webinars, or industry events
    • Customer payment process build-out — partnering with Finance, Energy Markets, and Customer Operations to design and implement a scalable, accurate customer payment and settlement workflow
    • Financial team project support — assisting the VP of Finance with budget tracking, board-level reporting preparation, vendor contract coordination, and financial planning cycles
    • Additional projects will vary based on company priorities — no two months will look the same

What We're Looking For

Required

  • 2–5 years in an executive support, operations, or chief of staff adjacent role — startup or high-growth company experience preferred
  • Experience planning and executing events of varying scale, from team offsites to all-company meetings
  • Exceptional written and verbal communication skills
  • Comfort working directly with and for founders and C-suite executives
  • High proficiency with productivity and collaboration tools (Google Workspace, Notion, Slack, or similar)
  • Strong judgment about what to prioritize, escalate, or handle independently

Preferred

  • Experience at an early-stage startup (Series A or earlier)
  • Exposure to recruiting coordination or HR operations
  • Financial literacy or experience supporting a finance function
  • Familiarity with AI tools and a genuine interest in using them to work smarter
  • Exposure to the energy, climate, or infrastructure sectors
