Position Summary:
The Officer Manager serves as the backbone of administrative operations, ensuring the smooth functioning of day-to-day activities. They meticulously oversee all aspects of office management, from mail, supplies, facilities, and correspondence. Acting as the central point of contact, they liaise with external parties and support internal teams, facilitating seamless communication and collaboration. This role also partners closely with the People Operations team to support company events, employee engagement initiatives, onboarding activities, and other projects that contribute to Coterie’s culture and employee experience.  

Location:
This position is based in our Cincinnati, Ohio office and is primarily onsite. However, hybrid flexibility may be considered for the right candidate

Key Responsibilities:


Office Operations & Administration:

  • Efficiently manage all administrative tasks and office operations to ensure smooth functioning.
  • Oversee office supplies, kitchen supplies, equipment, and facilities, ensuring everything is well-maintained and operational.
  • Coordinate office logistics, such as scheduling meetings, managing calendars, and organizing travel arrangements.
  • Serve as the primary point of contact for external vendors, clients, visitors and in-person events at the Cincinnati office.
  • Manage deliveries and process incoming and outgoing mail.
  • Maintain ownership of mail vendors and ensure timely processing.
  • Support Coterie promotional item operations, including inventory management, fulfillment, and shipping, ensuring timely delivery and consistently high-quality, on-brand experience for stakeholders (e.g., Revenue team events, vendors, clients, and visitors).
  • Handle incoming inquiries and correspondence, both electronically and in person.
  • Assist in budget management and expense tracking for office-related expenditures.
  • Support operations, marketing, and leadership teams with various administrative tasks and special projects as needed.
  • Act as a liaison between departments, facilitating communication, collaboration, and project execution.
  • Take initiative to identify opportunities for process improvements and implement solutions that enhance office efficiency and effectiveness.
  • Perform light janitorial duties, including trash removal and maintaining cleanliness in office spaces, kitchen areas, and restrooms.

    People Operations & Employee Experience
  • Partner with the People Operations team to support employee experience initiatives and organizational programs.
  • Assist in coordinating company-wide events, team gatherings, celebrations, and employee engagement initiatives, including logistics, vendor management, communications, and onsite support.
  • Support the People Operations team with miscellaneous project work and special initiatives as needed.

Required Qualifications:

  • Previous experience in administrative, office management, workplace experience, or operations roles.
  • Strong organizational, communication, and project coordination skills.
  • Ability to multitask, prioritize tasks, and work effectively in a fast-paced environment.
  • Experience coordinating events, meetings, or employee engagement activities preferred.
  • Proficiency with Microsoft Office Suite, Google Workspace, and other office productivity tools.
  • Strong customer service mindset and ability to build positive relationships with employees, vendors, and visitors.
  • Reliable transportation and a valid driver’s license for occasional job-related travel.
  • Active Notary commission or willingness to obtain a Notary commission within 60 days of employment.
  • Ability to lift and move up to 25 pounds, including office supplies and promotional materials.
  • Self-motivated, resourceful, and proactive with strong attention to detail.
  • Ability to work onsite regularly in our Cincinnati office while supporting a flexible hybrid schedule.


Our interview process:

Our hiring process generally consists of 3 phases. The goal is to provide an opportunity for us to learn more about our candidates while allowing them to get to know us as well!

  • Phase 1: Qualified candidates will first meet with a member of our People Operations team for a phone interview.  This discussion is a high-level conversation to understand more about your background and interests and for us to share more about Coterie and the position.
  • Phase 2: Selected candidates will be invited to meet with our Hiring Manager for a 2nd interview via Teams video. This interview is designed to be more detail oriented and allows you to learn more about the role
  • Phase 3: Top candidates will receive an invite for our final interview series via Teams video. This series will include an experiential exercise project (provided in advance), 1:1 interviews with selected team members. The final series is roughly 1.5-3 hours in total but can be scheduled over a few days for flexibility.

  • Annual salary estimated between $65,000-$75,000 (non-exempt/hourly) based on national data. Candidates who meet all the minimum requirements and possess additional relevant experience, as outlined in the job description, may be considered for a salary above the midpoint of the above range. Salary is based on internal equity; internal salary ranges; market data/ranges; applicant’s skills; prior relevant experience; degrees or certifications, etc.
