Pharmacy Intake Specialist

The Pharmacy Intake Specialist is responsible for receiving, processing, and documenting prescription referrals while ensuring accurate patient, insurance, and provider information. This role serves as a key liaison between patients, healthcare providers, insurance companies, and pharmacy staff to facilitate timely prescription fulfillment and exceptional patient service.


Essential Duties and Responsibilities

  • Receive and process incoming prescription referrals via phone, fax, email, and electronic systems.
  • Accurately enter patient demographics, prescription, and insurance information into pharmacy systems.
  • Verify the completeness and accuracy of referral documentation.
  • Contact patients, healthcare providers, and insurance companies to obtain missing information as needed.
  • Perform insurance verification and obtain benefit information.
  • Communicate with physician offices regarding prescription clarifications, prior authorizations, and required documentation.
  • Schedule patient onboarding calls and coordinate the intake process.
  • Maintain detailed and accurate records in compliance with pharmacy regulations and HIPAA requirements.
  • Monitor intake queues and prioritize referrals to ensure timely processing.
  • Provide exceptional customer service to patients, providers, and internal team members.
  • Collaborate with pharmacists, billing specialists, and other departments to ensure efficient workflow.
  • Assist with special projects and other duties as assigned.


Required Qualifications

  • High school diploma or equivalent required.
  • Experience with specialty pharmacy or mail-order pharmacy operations.
  • CareTend experience required.
  • Familiarity with pharmacy management systems, EMRs, or healthcare databases.
  • Proficiency with insurance verification, prior authorizations, or benefits investigations.
  • Minimum of 2 years of experience in a specialty pharmacy environment.
  • Strong data entry skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Knowledge of HIPAA regulations and patient confidentiality standards.
