What we are looking for:

Partner Forces is seeking an Executive Secretary / Executive Support Analyst to support senior DHS federal leaders in a fast-paced, mission-driven environment. We’re looking for an early-career professional who takes pride in being the person others can count on—someone who is highly organized, responsive, and detail-oriented, but who also sees the bigger picture and is eager to grow beyond traditional administrative support. You’ll help leaders stay ahead of priorities, navigate competing demands, coordinate across teams, and keep important work moving. We’re looking for someone who is naturally curious, takes initiative, anticipates what needs to happen next, and wants to build relationships and take on greater responsibility over time. You’ll have a front-row seat to how senior leaders make decisions and execute against mission priorities, with opportunities to stretch into new areas as you learn the organization, build trust, and grow your career.


What you'll do:

  • Serve as a trusted day-to-day partner to senior leaders, helping them stay organized, prepared, and focused on their highest priorities.
  • Manage complex calendars, meetings, scheduling, and executive correspondence, balancing competing priorities and anticipating conflicts.
  • Coordinate meetings from start to finish, including agendas, briefing materials, logistics, notes, action items, and follow-up.
  • Track leadership priorities, decisions, commitments, and deadlines to ensure important work continues moving forward.
  • Anticipate leadership needs and proactively identify information, materials, or coordination needed to support upcoming meetings and decisions.
  • Coordinate across teams, offices, and stakeholders to gather information, align activities, and facilitate communication.
  • Draft, edit, and format emails, briefings, presentations, reports, meeting materials, and other executive-level communications.
  • Help translate leadership direction into clear next steps and follow up with stakeholders to drive actions through completion.
  • Support special projects, research, planning efforts, and other mission priorities as needs arise.
  • Identify opportunities to improve processes, workflows, and systems that help leadership and the broader team operate more effectively.
  • Coordinate executive travel, events, and other logistics as needed.
  • Build strong relationships across the organization and become a reliable resource for both leadership and the broader team.
  • Take on increasing responsibility as you develop knowledge of the organization, its stakeholders, and its mission.

Qualifications

  • Must be a US citizen.
  • Early-career professional with 0–6 years of experience, with a strong interest in growing beyond traditional administrative support into a trusted, mission-oriented partner.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and details in a fast-paced environment.
  • Excellent written and verbal communication skills, including the ability to communicate professionally with senior leaders and a wide range of stakeholders.
  • Strong judgment, professionalism, and discretion when working with sensitive or confidential information.
  • A proactive mindset and ability to anticipate needs, identify gaps, and take action without always waiting for direction.
  • Strong follow-through and a demonstrated ability to take ownership of responsibilities from start to finish.
  • Ability to quickly understand priorities, connect information across different activities, and recognize what requires attention or escalation.
  • Adaptability and comfort working in an environment where priorities, schedules, and needs can change quickly.
  • Strong interpersonal skills and the ability to build trusted working relationships across teams and levels of an organization.
  • A collaborative, low-ego approach with a willingness to jump in and help wherever needed.
  • Intellectual curiosity and a genuine interest in understanding the mission and the work happening around you.
  • A desire to learn, grow, and take on responsibilities beyond traditional administrative support.
  • Experience providing executive support, program coordination, project support, or similar work in a complex organization preferred.
  • Experience supporting federal government clients or working in a federal consulting environment is a plus.
