Position Overview

The Reconciliation Clerk is responsible for verifying and ensuring that quantities of materials, products, labels, and documentation match correctly at the end of the production process. This role plays a critical part in maintaining inventory accuracy, documentation integrity, and seamless communication across Production, Quality, and Warehouse teams.

Department: Production / Operations

Reports To:   Production Supervisor / Operations Manager

Key Responsibilities

Production & Operations Management

  •  Prepare and generate labels for finished goods in accordance with production and quality standards.
  •  Review and compare produced quantities against scrap and held product to ensure accuracy.
  •  Verify labels, lot numbers, and all related documentation for completeness and compliance.
  •  Confirm that there are no discrepancies between physical inventory counts and system records.
  • Identify, document, and report any discrepancies or issues found during the reconciliation process.
  • Ensure all information is complete and accurate before closing work orders or releasing products for shipment.
  • Coordinate with Production, Quality, and Warehouse teams to resolve discrepancies or address pending materials.
  • Report daily productivity metrics to the supervisor at the end of each shift.


Quality, Safety & Compliance

  • Ensure the strict and proper use of Personal Protective Equipment (PPE) by all staff on the floor.
  • Maintain order, organization, and cleanliness in the work area, promoting good operational practices at all times.
  • Conduct Standard Operating Procedure (SOP) training for production personnel, ensuring full understanding and compliance.

Education & Experience

  • High school diploma or GED equivalent required.
  •  Previous experience in a manufacturing, warehouse, or production environment is preferred.
  •  Experience with inventory management or data entry is a plus.

Core Skills & Competencies

  • Process & Metric Driven: Strong attention to detail and accuracy.Ability to read and interpret production documentation, lot numbers, and labels.
  • Safety & Compliance Knowledge: Strong understanding of workplace safety regulations, proper PPE usage, and safe handling procedures for materials (including alcohol or other specific compounds).
  • Training & SOPs: Ability to comprehend, implement, and effectively train staff on Standard Operating Procedures (SOPs) and process documentation.
  • Technical Skills: Basic proficiency in computer applications (e.g., Google Workspace, Microsoft Office) for reviewing production sheets, submitting attendance reports, and maintaining digital logs. Experience with SNAP,NETSUTE and WMS is a plus  
  • Communication: Excellent verbal and written communication skills to effectively report issues, lead daily meetings, and collaborate with other departments (like Maintenance).
  • Language Skills: Bilingual proficiency (verbal and written) in English and Spanish is strictly required to effectively communicate with, train, and support the production team. 

Physical & Environmental Requirements (Optional but recommended for production roles)

  • Ability to stand and walk on the production floor for extended periods.
  • Flexibility to adapt to shifting daily production priorities and fast-paced environments.
