Stellar Virtual was founded in 2019 with one school in Texas. We serve parents of K-12 students, unhappy with their current school or need an at-home/flexible learning environment. Today, Stellar Virtual spans across three states currently, Arizona, Indiana, and Texas, with developing programs being introduced in new states over the next few years. Stellar Virtual is committed to going above and beyond for our virtual families.

Overview
The Attendance Specialist will play a crucial role in managing attendance records within Iowa Virtual Schools, a program of Stellar Virtual, that incorporates K-12 online learning. This position will primarily focus on and be able to monitor attendance, record keeping, reporting, compliance, communication, and problem solving, and training of attendance team members.
Essential Duties
- Help articulate the school's mission and vision with the aim of ensuring all stakeholders have a common understanding and are positioned to work cooperatively to achieve desired results
- Effectively communicate with parents and teachers concerning attendance and absences
- Assist in processing attendance, enrollment, and state reporting related to truancy and intervention
- Monitor students with regard to daily attendance and enrollment to identify students that have been absent 1-3 days and those that are active, but not yet logged in to provide support.
- Will be responsible for Verified Attendance
- Will monitor the attendance@stellarvirtual.org email account, daily, for any excused note submissions, will upload to Genius under External Files and verify the attendance, if applicable.
- Will help collect excused absences to minimize unexcused absences (75% of absences will be excused based on valid absence reasons)
- Will track Cancel/Starts and Withdrawals on the Form Submission, close them out of the CRM, and maintain clean and up-to-date student data
- Work cooperatively with parents of students with excessive absences to improve participation and involvement
- Emphasize and nurture two-way communication between TXVS and families regarding the importance of logging in to and completing coursework
- Work directly with parents to develop strategies for attending classes on a regular basis
- Assist in monitoring, identifying, planning and organizing student intervention and truancy prevention plans
- Assist in establishing controls and audit trails within the student information system to ensure completeness and accuracy of data and reports
- Assist staff in the use of the student information system as it pertains to tracking attendance and absences
- Maintain confidentiality on all job-related matters
- Encourage plans for improved student behavior that reflects enhanced incentives for attendance
- Provide information to parents about school policies and procedures
- Assist with the collection, processing, and distribution of identified student data and interpret this information for guidance, administrative, and instructional purposes
- Comply with policies established by federal and state law, and State Board of Education rules
- Maintain documentation on attendance and excused absences
- Consult and work with parents, administrators, counselors, teachers, community agencies, and other relevant individuals to identify and remove barriers and help prevent further unexcused student absences
- Communicate and promote high expectations for student performance and behavior
- Participate in establishing and maintaining a positive school climate
- Communicate effectively with students, parents, staff, and community
- Understand and help support Stellar Virtual’s mission and core values.
- Perform other duties as assigned.
Knowledge, Skills & Attributes
- Experience working in Education, Attendance, Communications, or other related field.
- Experience working with students, parents, educational agencies, child welfare and attendance personnel at a school district.
- Experience involving student services-intervention and prevention programs in the areas of attendance, enrollment, and data reporting.
- Experience using computer-based programs.
- Experience using search engines (internet) for research projects and training.
- Experience using a student information system and/or other type of database.
- Proven proficiency in Zoom, Google Workspace, PEIMS, LMS, MS Excel, MSWord, and Outlook.
- Knowledgeable of applicable and relevant federal, state and local laws
- Knowledgeable of school-specific regulations, guidelines, state and local attendance requirements and procedures
- Excellent organizational, communication, and interpersonal skills
- Excellent time-management skills, attention to details, and ability to work independently
- Ability to interpret data
- Strong consultation skills for conferencing with teachers, parents and students
- Great organizational and time management skills;
- Strong written and verbal communication skills;
- Two Years related educational experience preferred.
- Must pass the required background check.
Education & Certification Requirements
- A minimum of a High School Diploma or equivalent is required.
- A Bachelor’s Degree is preferred but not required.

For W-2 employment, Stellar Virtual is an at-will employer. This means the employee and Stellar Virtual can terminate the employment at any time, with or without cause or notice, as legally permitted.
