Position Overview
The Data Support Specialist is responsible for managing and maintaining employee access and system credentials across the organization, serving as the primary point of contact for system access, permissions, and credentialing. This role ensures the secure, timely, and accurate provisioning and de-provisioning of accounts in alignment with the organization’s security policies and compliance standards. The Data Support Specialist will work closely with IT, HR, and department leads to support secure and streamlined access to critical systems and data.



Essential Duties & Responsibilities

  • One Number: 100% Data Synchronization for Systems within the Scope of Accountability
  • Account Management and Credentialing
    • Serve as the primary owner of user access, permissions, and credentials across all organizational systems, ensuring appropriate security levels are granted based on role requirements.
    • Coordinate with HR and department managers to provision and deprovision employee accounts for new hires, role changes, and terminations.
    • Manage access requests, password resets, and credentialing changes within established service-level agreements (SLAs) to minimize disruption to user operations.
  • System Security and Compliance
    • Enforce access control policies/protocols to ensure secure, role-based access.
    • Perform regular audits on access levels, ensuring compliance with organizational standards and industry regulations (e.g., GDPR, HIPAA).
    • Document and report any security or access anomalies, following up with IT or security teams as necessary to mitigate risks.
  • Collaboration and Support
    • Collaborate with IT, HR, and department leads to ensure alignment on access needs and changes based on role adjustments, onboarding, and offboarding procedures.
    • Support end-users by guiding them on system access issues and troubleshooting.
    • Maintain up-to-date knowledge of system changes and software updates that impact credentialing and access management.
  • Documentation and Process Improvement
    • Develop and maintain documentation on access provisioning, de-provisioning, and security protocols to ensure consistent and accurate credentialing processes.
    • Identify and recommend improvements to enhance the efficiency, security, and user experience of the access management process.
    • Participate in the development and deployment of automation tools and workflows to streamline user access and credentialing processes.


Knowledge, Skills & Attributes 

  • Strong organizational skills with exceptional attention to detail.
  • Proficiency in using student information systems and databases.
  • Excellent written and verbal communication skills.
  • Familiarity with Google Suite (Admin, Docs, Sheets, Slides, Keep, Forms, etc.).
  • Ability to pass a required background check.


Education & Certification Requirements

  • A minimum of a high school diploma or equivalent (GED) is required. 
  • A minimum of one (1) year of relevant experience as a data support specialist or similar role is required; three (3) years of relevant experience is highly desirable.
