About the Role

The Part-Time Office Administrator is responsible for the day-to-day administrative operations of the Toronto office. This role requires strong organizational skills, attention to detail, and the ability to manage confidential and time-sensitive information. The successful candidate will provide administrative and operational support to the business, helping to ensure the office runs smoothly while delivering a positive experience for employees and visitors.


This is an onsite position located at our Toronto office: 48-209 Wicksteed Avenue, Toronto, ON M4G 0B1.


This position is scheduled for 24 hours per week, with attendance required five days per week. Typical office hours are expected to fall within core business hours and can be discussed during the interview process. Some flexibility may be available; however, any schedule adjustments must support business needs and be approved by the Hiring Manager in advance.


The ideal candidate is proactive, service-oriented, and comfortable working independently while collaborating with teams across the organization. They will play an important role in maintaining an organized, professional, and welcoming office environment while supporting a variety of administrative and operational initiatives.


Key Responsibilities

  • Office Administration Management — overseeing day-to-day administrative functions of the office.
  • Mail & Correspondence Processing — receiving, sorting, and distributing incoming packages, statements, and correspondence for clients, plan members, and internal recipients, including handling of sensitive or time-sensitive documents such as contracts, legal documents, and personal correspondence with appropriate discretion.
  • Individual Sales Policy Management — processing of policies, mailing to plan members, notifying advisors, and scanning documents.
  • Finance Management — scanning cheques into system for processing; supporting Accounts Payable and Accounts Receivable functions.
  • File Management — maintaining organized, accurate filing of important documents and records.
  • Outbound Mail Preparation — preparing and sending out mailed materials as needed.
  • Courier & Parcel Management — managing outgoing and incoming courier arrangements, including travel to courier locations such as the UPS Store to drop off or pick up parcels when scheduled pickups or deliveries are missed.
  • Support on various initiatives as required.


Qualifications & Skills

  • Previous office administration experience, ideally in insurance, financial services, or group benefits.
  • Strong attention to detail and comfort handling confidential documentation.
  • Proficiency with Microsoft Office, including Word, Excel, and Outlook.
  • Strong organizational and time-management skills; able to manage recurring, deadline-driven tasks.
  • Comfortable working independently and in office five days per week.


Pay range and compensation package

  • Salary range of $28,000-$30,000
  • 24 hours per week, with attendance required five days per week

  • Mileage reimbursement is permitted for travel related to picking up parcels or courier packages on behalf of the company. Mileage is not reimbursable for travel to and from the office.
