Duration: 6-month contract (ASAP start – early December 2025), with potential for extension

Position Overview

We are seeking an experienced and highly-organized Events Project Director, based in the Middle East (preferably Dubai or Abu Dhabi), to oversee the successful delivery of a high-profile, in-person summit convening global C-suite executives, policymakers, and tech experts later this year. The summit’s primary objective is to examine the region’s competencies as a driving force for AI development in the Global South. This is a hands-on role, responsible for seamless coordination among stakeholders, partners, and sponsors, requiring high-level stakeholder management skills, exceptional project management capabilities, and experience with large-scale, complex events and summits.

Key Responsibilities

  • Serve as the point of coordination for all aspects of the flagship summit, ensuring project milestones are met for successful, on-time event delivery.
  • Collaborate cross-functionally with teams including GZERO Media editorial, content, events, corporates and global markets practices, and marketing staff, as well as sponsors, partners, and government agencies.
  • Track project schedules, develop and maintain comprehensive project management documentation, and ensure all deliverables are met in accordance with predetermined timelines.
  • Liaise with and foster relationships at the highest levels with government stakeholders, partners, and C-level executives.
  • Prepare, proofread, and edit summit communications and event materials to the highest professional standard.
  • Support the Head of Events in decision-making and align all activities with overall summit objectives; escalate major decisions for approval.
  • Support high-level reporting activities including budget tracking and expense reporting (financial operations are managed centrally).
  • Ensure accurate tracking of participant invitations, confirmations, and on-site logistics to secure a minimum of 200 high-level participants.
  • Maintain high standards in event participant experience and post-event satisfaction.

Qualifications

  • 7+ years’ demonstrated experience managing large-scale events and/or complex, multifaceted projects in the Middle East, ideally with a focus on technology or public policy.
  • Extensive experience working with senior-level government stakeholders, sponsors, and partners in the region.
  • Superior project management, organizational, and relationship management skills; demonstrated ability to work cross-functionally and to tight deadlines.
  • Impeccable English communication skills, including copywriting and editing.
  • Proficiency with MS Office suite.
  • Understanding of Middle East politics and/or technology sectors strongly preferred.
  • Self-motivated, detail-oriented, and comfortable operating with limited autonomy in a structured approval environment.
  • Bachelor’s degree required; advanced degree preferred.

Other Details

  • This is a contractor role with no direct team management responsibilities.
  • The role will report to the Head of Events.
  • No travel outside the UAE is required.
  • Preference for candidates with experience convening high-level government and private sector stakeholders in the UAE; previous work on technology themes is an asset.
