Nature of Work
The Park Operations & Fields Coordinator plays a key operational and customer-facing role responsible for ensuring the effective use, maintenance, and oversight of district parks, athletic fields, and related events. This position coordinates field scheduling and logistics, assists with staffing and training of park operations personnel, and serves as a primary liaison between Park Operations, field user groups, the Events team, and the community. The Coordinator oversees on-site field management, turf and facility maintenance scheduling, weekly park inspections, and the district’s AED program, while also providing administrative support and maintaining essential operational records. The role supports internal and third-party events through set-up, tear-down, and day-of management, keeps Park Operations webpages current, and participates in district-wide meetings and community activities. Work requires strong communication skills, independent decision-making, and a commitment to safety, customer service, and positive team culture. Flexible hours, including evenings, holidays, and on-call duties, are required to meet operational needs.
Essential Functions
- Planning and logistics: Secure fields and parks, create schedules, and coordinate all on-site logistics.
- Park staff and field user administrative team coordination: Assist to hire, train, and schedule park staff and, and resolve any staffing or field user disputes that arise.
- Field User Group Communication: Serves as a liaison between Park Operations team, and field user groups.
- On-site management: Oversee the event and field management on field use days, handle any unexpected challenges, and ensure safety and compliance.
- Turf Management and Field Maintenance: Manages and schedules staff accordingly for seasonal green space upkeep, athletic field grounds maintenance and mitigation of obnoxious weeds and application of pesticides and herbicides throughout all green spaces.
- Field Inspections: Oversees the general up keep up for all sports fields (i.e. trash pickup, graffiti removal, and restocking porta potties) and coordinates with the Park Ops Management team to schedule required maintenance as needed
- Serves as point of contact between Park Operations team and Events team for all support needed by Park Ops team for both District-wide and all third-party events.
- Responsible for ensuring Park Operations webpages are up to date in collaboration with Marketing.
- Event Support: Assist in the set-up, tear down and overall management of all internal and third-party events taking place on EPRD fields.
- Supports Evergreen community events in coordination with the EPRD Events team and community stakeholders as needed.
- Support and attend District-wide events and community activities as assigned
- Serves as main point of contact for Park Operations Office for all general inquires and responds to and directs citizen requests as needed.
- Assists in maintaining all internal Park Operations documents, files, and financial records to
- include all originals of District contracts, grants, Intergovernmental Agreements, District,
- resolutions, and internal district documents (i.e. phone lists, birthday lists, team building
- and trainings) etc.
- Attends and provides support for large-scale meetings led by EPRD, such as leadership
- meetings for capital improvement projects, EPRD board meetings, community meetings, etc.
- Oversees AED program in coordination with local fire district to provide free AEDs
- throughout all EPRD facilities, parks, and athletic fields.
- Assists general park operations team with cleaning and maintaining of park restrooms and
- porta-potties.

- Collaborate with EPRD leadership team on Capital Improvement Projects as assigned.
- This position requires flexible hours including evenings, holidays, and adaptable to event schedules as needed. The preferred schedule for this role is Wed-Sun 10am-6pm.
- May Perform on-call duties as required.
Illustrative Examples of Duties
- Plan, schedule, and coordinate athletic field and park usage, including securing facilities, drafting seasonal schedules, and managing all associated logistics.
- Recruit, train, schedule, and supervise park operations staff, ensuring appropriate coverage and timely resolution of staffing concerns or user-staff conflicts.
- Serve as the primary liaison between the Park Operations team and field user groups, communicating policies, schedules, expectations, and field conditions.
- Provide on-site oversight during games, practices, and events, addressing operational challenges, enforcing safety standards, and ensuring compliance with district policies.
- Coordinate and oversee turf management and athletic field maintenance, including seasonal turf care, artificial turf upkeep, and daily/weekly grounds maintenance tasks.
- Manage the weekly park inspection process, reviewing submitted reports, identifying maintenance needs, and coordinating follow-up actions with the Park Operations management team.
- Oversees general safety and maintenance of all playgrounds throughout all parks and fields.
- Act as the central point of contact between Park Operations and the Events team, ensuring that all district and third-party events receive necessary operational support.
- Assist with set-up, tear-down, and general operational support for internal and external events, ensuring smooth execution and adherence to district standards.
- Support Evergreen community events and District-wide programs, coordinating with the Events team and community stakeholders as required.
- Respond to public inquiries as the first point of contact for the Park Operations Office, providing customer service, directing requests, and resolving concerns.
- Maintain and organize internal Park Operations documents and records, including contracts, grants, intergovernmental agreements, resolutions, and administrative files.
- Conducts monthly checks of all AEDs throughout district facilities, parks, and athletic fields.
- Provide administrative and logistical support for major meetings, such as capital improvement project briefings, EPRD board meetings, and community meetings.
- Collaborate with district leadership on Capital Improvement Projects, providing operational insight and assisting with planning and implementation.

- Work a flexible schedule as needed, including evenings, weekends, holidays, and participating in on-call rotations to support operational needs.
Skills & Abilities
- Must be proficient in the use of computers, including Microsoft Office Suite of software products, and basic office equipment.
- Must be able to perform at the mastery level in typing, filing, grammar, communications and public relations skills; and other general administrative skills.
- Skilled in organization and time management along with being detail-oriented.
- Must possess strong interpersonal, decision-making and relationship skills.

- A general knowledge of software programs such as: Trello, Asana, Team sideline, and ActiveNet.
- Knowledge of general facility operations, including but not limited to, operational standard operating procedures and budgeting practices and procedures.
- Ability to maintain a high level of professionalism.
- Ability to communicate effectively, both verbally and in writing, to a variety of audiences.
- Ability to prepare clear, concise reports, studies, memorandums and statistics.

Required Training, Experience & Qualifications
- Bachelor's Degree in Parks and Recreation Management, Natural Resource Management, Sport and Facility Operations or Recreation Administration; or comparable experience preferred.
- A minimum of two years with working with parks, fields, events.
- A minimum of two years of working and implementing user group coordination.
- Possession of current certification or ability to obtain within 6 months upon hire:

- Requires a level of knowledge and ability to independently accomplish tasks or projects of typical complexity in a consistent and accurate manner and in a variety of situations.
- This is parks position that will complete parks projects and will be in the elements year-round.
- Have CPR and first aid certification or obtain shortly after being hired.
